We are seeking an experienced, highly organized Business Administrative & Bookkeeping Coordinator to work directly with the owner of several locally owned businesses operating under separate business entities.
This position is for someone who already has experience handling the administrative side of small businesses—including business licensing, permitting, government portals, renewals, bookkeeping, bill payment, and recordkeeping.
We are not looking for someone who needs to learn these processes from scratch. The right candidate will have previous experience navigating business licensing and government portals and will be comfortable taking responsibility for these tasks with minimal direction.
The owner is actively managing and operating multiple businesses. The purpose of this position is to take many of the bookkeeping, licensing, compliance, paperwork, and administrative responsibilities off the owner's plate and make sure they are handled correctly and on time.
Responsibilities- Maintain bookkeeping records for multiple separate business entities
- Enter, categorize, and reconcile business transactions
- Manage accounts payable and routine bill payments
- Organize invoices, receipts, statements, and financial records
- Work with Quick Books and prepare organized information for our accountant/CPA
- Keep the books and records of each business entity properly separated
- Handle business license applications and renewals
- Navigate city, county, state, and other government licensing and permitting portals
- Track licenses, permits, registrations, renewals, and filing deadlines
- Communicate directly with government agencies when necessary to resolve licensing, permitting, or administrative matters
- Maintain insurance certificates, business records, vendor documentation, and other required paperwork
- Communicate with vendors, accountants, insurance companies, government offices, and other business contacts
- Maintain organized digital and physical files
- Create and maintain a calendar/system for important business deadlines and renewals
- Handle general administrative projects and follow through until they are completed
Candidates should have previous hands-on experience with:
- Business licensing, permitting, and/or regulatory compliance
- Navigating city, county, state, and government online portals
- Bookkeeping and financial recordkeeping
- Quick Books or similar bookkeeping software
- Accounts payable and bill management
- Managing administrative responsibilities for a small business or multiple business entities
Florida business licensing, permitting, or local government experience is strongly preferred.

You should be the type of person who can be given a licensing, bookkeeping, or administrative issue and know where to go, who to contact, what needs to be filed, and how to follow it through to completion.
This is a hands-on position working directly with the business owner. We are looking for someone who can take ownership of the administrative side of several businesses not someone who needs constant direction.
