Forge Plan is a patent pending AI construction intelligence platform. We are looking for a technology-savvy, dependable Executive Assistant to support the founder and keep priorities, communications, and projects organized. This is a hands‑on role for someone who learns new systems quickly, handles complex issues thoughtfully, and follows through without repeated reminders. Punctuality, discretion, accuracy, and clear communication matter as much as technical confidence.
Whatyou will do
- Manage calendars, coordinate meetings, prepare agendas, and track decisions and next steps.
- Organize email and communications, draft professional responses, and flag matters that need the founder’s attention.
- Maintain project trackers with clear priorities, owners, deadlines, and follow-up. Raise obstacles early and close the loop on commitments.
- Research business and technology questions using reliable sources and approved AI tools. Verify important facts and distinguish evidence from assumptions.
- Prepare polished documents, presentations, spreadsheets, meeting notes, and contact or CRM records.
- Help coordinate website, marketing, and administrative updates, checking accuracy and obtaining approval before publishing or making commitments.
- Troubleshoot everyday software and workflow problems, document issues clearly, and coordinate with technical support or vendors.
- Protect confidential business and project information. Never place sensitive material into unapproved AI tools or share credentials.
- Consistent punctuality, dependable follow-through, and careful attention to detail.
- Strong written communication and the ability to turn an unclear request into practical next steps.
- Comfort with calendars, email, spreadsheets, shared documents, project‑management tools, and learning unfamiliar software.
- Practical understanding of AI‑assisted work, including checking outputs and protecting confidential information.
- The ability to prioritize competing tasks, stay composed when plans change, and know when to upscale an issue.
- Examples of successfully supporting an executive, coordinating operations, or managing complex administrative work. Experience with a growing technology business, construction workflows, Word Press, or CRM systems is helpful—not a requirement to know every tool on day one. This is not a software‑engineering role.
The founder has a clear view of priorities, meetings are prepared, information is accurate and easy to find, and important work moves forward without falling through the cracks.
