Responsibilities
  • Manage the Exchange Visitor Program (J-1 visa) sponsorship and hosting. Work closely with FSU departments on processes for hosting J-1 participants and advise on work authorization, timing, eligibility, funding, insurance requirements, and other regulations and policies. Review appointments in university payroll appointment system to ensure that all changes are reported as immigration regulations require. Coordinate communication between Fulbright sponsors, hosting departments, graduate admissions, and student finance.
  • Provide immigration services and support to the J-1 participants, including researchers, degree and non‑degree students, interns, and specialists. Review and determine eligibility for J‑1 status, and issue certificates of eligibility (DS-2019) and training plans (DS-7002) as appropriate. Prepare and provide required individualized pre‑arrival materials and group orientations for new J‑1 participants. Advise participants on visa process, maintaining status, work authorization, dependents, insurance requirements, extensions, transfers, etc.

    Prepare and transmit incident reports to the U.S. State Department. Facilitate participation in community events and activities.
  • Maintain updated J‑1 Exchange Program information on CGE website. Work with Program Director for Data and Compliance to update J‑1 electronic forms, data transfers, and communication. Regularly update pre‑arrival and welcome materials for J‑1 participants. Ensure front desk staff receive training on how to assist newly arrived Visiting Scholars with check‑in process. Provide presentations and training to university stakeholders.
  • Stay current with J‑1 regulations and complete annual report as required by the State Department. Generate reports and track data on participation for CGE and other university stakeholders.
  • Participate in major CGE events and programs. Serve on committees. Participates in professional associations for international educators.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree and four years experience related to academic and/or student services or a combination of post high school education and experience equal to eight years.
  • US citizenship or permanent residence required due to federal SEVIS database requirements.
Preferred Qualifications
  • Master’s degree in international affairs or closely related field.
  • Experience working in an international office supporting students and scholars.
  • Experience with the U.S. Department of State’s J‑1 Exchange Visitor Program.
  • Experience living, studying, or working abroad.
  • Knowledge of a second language.
  • Experience using Sunapsis case management software.
  • Ability to multitask in a busy office environment.
  • Excellent organizational skills, and record of success establishing priorities and meeting deadlines.
  • Evidence of strong writing, presentation, and facilitation skills.
  • Skilled in customer service in‑person and by phone.
