Mortgage Fulfillment Specialist Essential Responsibilities- Monitors VyStar’s online mortgage application system for all first‑mortgage, home‑equity line of credit, land, Construction‑2‑Perm, FHA, and VA applications daily.
- Completes loan‑file set‑up for purchases, refinances, HELOANs, and HELOCs and determines loan status for proper assignment.
- Sends initial disclosure and redisclosure packages to members electronically or by regular mail, ensuring timely disclosure in compliance with Federal, State and NCUA guidelines.
- Conducts daily email reporting of applications received to management.
- Manages purchase applications with contractual fee adjustments, communicates with originators when contracts are missing, and sends disclosures via electronic mail, USPS, or Fed Ex.
- Reviews fees and sends initial disclosures for refinances, HELOANs, and HELOCs through appropriate channels.
- Communicates effectively with the origination department to provide timely contact for rate options, appraisals, disclosures, and application assistance.
- Completes daily written employment verification requests and follow‑ups for Mortgage Loan Origination and Mortgage Fulfillment.
- Processes Homeowners & Flood Insurance, Payoffs and Title Order requests and follows up on requests from Mortgage Fulfillment.
- Reviews the Mortgage Support Requests mailbox, uploads written verifications for employment, homeowner’s insurance, flood insurance and payoff requests.
- Monitors incoming member documentation via multiple channels (right fax, e‑mail, mail, LOS delivery), names unidentified documents, and facilitates automated distribution and notification to appropriate staff.
- Participates on the User Acceptance Testing Team for mortgage loan originations system releases and enhancements; collaborates with the Mortgage System Analyst and other testers to recommend improvements.
- Recommends process improvements, quality member service and increased efficiencies to senior management, supervisors and the Closing Manager.
- Maintains vigilance in safeguarding operations, ensuring compliance with regulatory mandates, and demonstrates VyStar Excellence behaviors (Focus, Connect, Understand, Counsel, Advance).
- High School Diploma or GED required.
- Registered mortgage loan originator under Nationwide Mortgage Licensing System and Registry (NMLS) and compliance with the Secure and Fair Enforcement Mortgage Licensing Act of 2008 (S.A.F.E. Act) and credit‑union S.A.F.E. Act procedures.
- Minimum 2+ years of experience in a role involving direct customer interaction, including product sales, administrative processing or customer service; experience in a financial institution, preferably mortgage lending, is preferred.
- Experience with lending processing, credit reporting, terminology, evaluation and interest computation methods preferred.
- Computer literacy and proficiency with Microsoft Office applications (Word, Excel, Outlook, Teams).
- Strong organizational skills, detail orientation, ability to manage multiple priorities, and high sense of urgency.
- Ability to work independently, in a fast‑paced environment, and overtime when needed.
- Excellent communication skills and ability to interface effectively with members and staff.
- Familiarity with conventional and equity loan financing and knowledge of mortgage lending regulations preferred.
- Incumbent expected to require three months to be fully functional in the position.
