This is an in‑office position. The candidate will be required to work in the Tallahassee office.
Highly responsible, independent professional in Contract Administration. Serves as Contract Administration Project Manager, providing technical assistance to contract managers and overseeing contract management operations across the Department and statewide offices.
Responsibilities- Provide technical assistance to contract managers in program and county offices.
- Lead coordination and submission of Contract Review Audits and Expanded Audit of Payment requests, maintaining the audit request tracking log.
- Prepare and distribute monthly and quarterly report materials in collaboration with the Director of Contract Administration.
- Respond to inquiries from the Contract Admin inbox, providing customer service and written responses.
- Create and maintain spreadsheets, generate and monitor required reports.
- Coordinate programmatic meetings, prepare agendas, send invitations, and record minutes.
- Assist with staff onboarding, office space setup, supply procurement, and IT tickets.
- Maintain Department Contract Manager counts and process Contract Manager Change Requests.
- Support Operations Analyst duties, including review and approval of contract actions, updating workflow queues, and coordinating AXIOM updates.
- Provide technical assistance to Division, Office, and CHD users, granting access and updating user roles.
- Complete special projects assigned by the Director, such as updating SharePoint forms and flowcharts.
- Strong written and verbal communication skills with proper English grammar and spelling.
- Ability to understand and apply rules, regulations, policies, and procedures.
- Strong organizational skills and ability to meet strict deadlines.
- Ability to plan, organize, and coordinate work assignments independently and as part of a team.
- Ability to maintain confidentiality, collaborate effectively, and act with integrity.
- Strong attention to detail, flexibility, self-discipline, and professionalism.
- Florida Certified Contract Manager (FCCM) certification or ability to obtain it within one year of employment.
- A High School Diploma or equivalent.
- Two (2) years of professional experience in data entry, document review or auditing, applying laws, rules, regulations, policies, and procedures.
- Working knowledge of Chapter 215, 216, and 287, F.S. and relevant Federal Regulations (e.g., CFR Part 200, Uniform Administrative Requirements, Cost Principles and Federal Awards).
- Experience managing State of Florida and/or Federal contracts or grants.
- Project management experience.
- Professional Project Manager (PMP) certification.
- Florida Certified Contract Negotiator (FCCN) certification.
