Job Description Summary

The Team Lead will lead the efforts of the clinical side of the practice, supporting daily operations to ensure a smooth office workflow, and will assist with clinical and back‑office tasks. They will support effective scheduling, manage patient flow, and ensure that staff provide a superior patient experience while building a culture of trust and respect. The Team Lead will communicate, train, and provide regular feedback to staff regarding production and professionalism within the bounds of efficient patient care.

Key Responsibilities
  • Support the daily operations of the practice to ensure a smooth office workflow.
  • Assist in ensuring appropriate staffing levels by handling call outs, re‑scheduling, PTO/time off requests, and related needs.
  • Perform medical assisting duties, patient triage, and other back‑office duties as needed (within scope of practice).
  • Be available to office staff during day‑to‑day operations.
  • Work with the Practice Supervisor on staff rounding and collaborate on development of goals and metrics for staff performance.
  • Complete regular follow‑ups on practice performance items such as buckets, TOS, provider scheduling management, and care gaps.
  • Ensure all staff at all locations adhere to MPG processes, including AIDET and patient phone surveys.
  • Onboard new hires: provide log‑in information, set up a quiet workstation, and conduct regular check‑ins to address any issues.
  • Coordinate additional training after a new hire completes the orientation week.
  • Review Care Gap reports, TOS collections reports, etc., and discuss concerns with the Practice Supervisor and Practice Manager.
  • Monitor quality reports and ensure that all chart preparation is completed daily.
  • Answer phones during high‑volume periods and help address patient complaints or concerns.
  • Monitor Athena Buckets and assist with dropping claims as needed.
  • Oversee inventory and supply control in the facility—ensure exam/waiting rooms, lab, and nursing areas are stocked and sanitized.
  • Order medical and office supplies.
  • Schedule and order ancillary services.
Qualifications
  • Clinical Certification (LPN, CMA, or RMA) that must be kept current.
  • 1–2 years of direct healthcare experience in a comparable scope.
  • Strong communication skills: ability to read and interpret safety rules, operating instructions, and procedure manuals; write routine reports and correspondence; speak effectively to patients, staff, providers, and other employees.
  • Reasoning skills: apply common sense to carry out instructions, solve problems involving several variables, and mitigate staff disagreements through conflict resolution.
  • Computer proficiency: experience with EMR systems and software applications, including Microsoft Office Suite;
    Athena knowledge preferred.

Work Environment Requirements

The role requires standing, walking, using hands to handle or feel, reaching with hands and arms, climbing or balancing, speaking, hearing, smelling, and occasionally sitting, stooping, kneeling, crouching, or crawling. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

The noise level in the work environment is usually moderate.
