Position Overview
We are seeking a Customer Service & Medical Records Specialist to provide front-office customer service while supporting the processing and organization of medical records
This position will:
- Answer incoming calls and assist patients, families, referral sources, and employees
- Provide general administrative and office support
- Process medical records requests in partnership with the Compliance Department
- Organize and prepare medical records and supporting documentation
- Maintain accurate records, spreadsheets, and tracking systems
- Handle confidential and protected health information appropriately
Key Responsibilities
Customer Service & Office Support
- Answer and direct incoming phone calls
- Provide professional and courteous customer service
- Greet and assist visitors
- Receive, sort, and distribute incoming mail
- Sign for and distribute packages
- Provide general clerical and administrative support
- Maintain an organized office environment
- Assist with additional administrative projects as needed
Medical Records
- Process medical records requests in coordination with the Compliance Department
- Locate and gather requested medical documentation
- Review records for completeness and organization
- Organize, combine, separate, reorder, and prepare PDF documents using Adobe Acrobat
- Maintain accurate medical records request logs and tracking spreadsheets
- Coordinate with internal departments to obtain required documentation
- Maintain confidentiality of patient information and protected health information
- Follow company policies and procedures related to medical records, privacy, and compliance
- Maintain accurate electronic and physical records
Required Qualifications
- Some college
- Previous medical records or healthcare administrative experience
- Strong understanding of confidentiality and handling sensitive patient information
- Excellent attention to detail
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Professional, dependable, and team-oriented
Preferred Qualifications
- Experience with:
- Medical records
- Health Information Management (HIM)
- Release of Information (ROI)
- HIPAA/privacy requirements
- Legal or regulatory requirements related to medical records
- EMR/EHR systems
- Previous experience working with a:
- Home health agency
- Hospital
- Physician practice
- Healthcare compliance department
- Medical records/HIM department
What We're Looking For
The ideal candidate is:
- Detail-oriented and highly organized
- Comfortable working with confidential medical information
- Experienced in handling and organizing large volumes of documentation
- Highly proficient in Excel and Adobe Acrobat
- Comfortable following established compliance and documentation procedures
- Able to recognize when a medical records request requires additional review
- Professional and comfortable communicating with patients, families, healthcare professionals, and internal departments
- Able to work independently while also collaborating closely with the Compliance team

Full-time - Work Setting:
In-office - Pay: $19.00–$22.00/hour
- Three weeks of PTO, increasing to four weeks after five years
