Human Resources Assistant

Position Summary

The Human Resources Assistant provides administrative and operational support to the Human Resources Department. This role is responsible for assisting with recruitment, onboarding, employee records management, benefits administration, compliance documentation, and HRIS data entry within ADP Workforce Now. The HR Assistant ensures that all HR processes are executed accurately and in compliance with company policies and applicable federal and state employment regulations.

Key Responsibilities
  • Recruitment & Onboarding
    • Assist with posting job openings on recruitment platforms (e.g., Indeed, ADP Recruiting).
    • Schedule interviews and coordinate communication between candidates and hiring managers.
    • Conduct new hire onboarding, including completion of pre‑employment documentation.
    • Prepare and process new hire packets and onboarding materials.
    • Ensure completion of Form I-9 and E‑Verify within required timelines.
    • Maintain onboarding trackers and candidate status reports.
  • HRIS & Employee Records Management
    • Enter and update employee information in ADP Workforce Now (WFN).
    • Maintain accurate and up‑to‑date employee personnel files (electronic and physical).
    • Process employee status changes such as:
      • Transfers
      • Promotions
      • Pay rate changes
      • Department changes
      • Terminations
    • Assist with maintaining HR trackers including headcount reports and referral program tracking.
  • Compliance & Reporting
    • Support HR audits including:
      • I-9 documentation
      • OSHA logs
      • Workers’ Compensation documentation
    • Ensure compliance with company policies and employment regulations.
    • Assist in preparing HR reports including:
      • New hire reports
      • Turnover reports
      • Open requisition tracking
      • Referral bonus tracking
  • Benefits & Employee Support
    • Assist employees with general HR‑related inquiries.
    • Support benefits enrollment and employee communications during open enrollment periods.
    • Assist with leave of absence documentation (FMLA, ADA).
    • Coordinate employee engagement initiatives and HR‑related events.
  • General Administrative Support
    • Maintain confidentiality of all employee records and HR information.
    • Prepare HR correspondence and employment verification letters.
    • Support HR team with departmental projects and initiatives.
    • Assist in organizing job fairs and recruitment events for hotel operations (e.g., Housekeeping, Front Desk, PBX, Food & Beverage).
Qualifications Education & Experience
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 1 year of administrative or HR support experience required.
  • Experience in hospitality industry preferred.
Technical Skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with HRIS systems; ADP Workforce Now preferred.
  • Knowledge of E‑Verify and Form I-9 processes is a plus.

  • Occasional standing, walking, and lifting up to 15 lbs.
Initial Training

Within the first 30 days, the Human Resources Assistant must demonstrate proficiency in all tasks listed on the New Hire Training Checklist.
