This position provides comprehensive legal administrative support within a fast-paced law firm environment, demonstrating professionalism, integrity, and excellence. The role requires strong knowledge of firm and practice-specific procedures, court rules, legal technology systems, and case management processes. Responsibilities include managing multiple projects, meeting deadlines, and communicating effectively with attorneys and staff.

Key Responsibilities:
  • Handle case opening, conflicts checks, billing support, records, and coordination with firm departments.
  • File pleadings in Federal and State courts in compliance with applicable rules and procedures.
  • Draft and proofread correspondence, pleadings, and legal documents.
  • Track expenses and process reimbursements and payments.
  • Assist with billing processes, including time entry support, editing narratives, calendaring due dates, and invoice distribution.
  • Schedule hearings and appointments in accordance with court requirements.
  • Calculate and monitor deadlines to ensure timely filings.
  • Maintain electronic and paper case files.
  • Manage incoming and outgoing correspondence and communications.
Qualifications & Skills:
  • Minimum five years of Florida law firm experience as a Litigation Legal Assistant and/or Paralegal.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities under tight deadlines.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and experience with case management and billing systems; knowledge of iManage, Smart Time, Aderant, and Relativity preferred.

This is an in-office position requiring regular attendance and the ability to perform standard office tasks, including typing and document review.
