The ideal candidate will be comfortable independently researching rights holders, securing permissions, reviewing licensing terms, and maintaining accurate records of third-party intellectual property.

Candidates with approximately 3+ years of relevant experience are preferred; however, candidates with less tenure will be considered if they have strong substantive experience and can quickly step into the work.

Qualifications
  • Preferred experience:

Hands-on experience with copyright, rights and permissions, and/or asset licensing
  • Approximately 3+ years of relevant experience preferred, although years alone are not a hard requirement
  • Ability to independently research rights holders and navigate third-party permission and licensing processes
  • Familiarity with licensing agreements, contractual terms, intellectual property rights, and copyright requirements
  • Strong organizational skills with the ability to manage multiple licenses, deadlines, restrictions, and renewals
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to maintain accurate documentation
Education / Additional Qualifications
  • Bachelor's degree in Information Science, Intellectual Property, or a related field preferred
  • Paralegal certificate preferred, but not required
  • Prior intellectual property or copyright-focused paralegal experience is also highly relevant
Responsibilities
  • Review content and identify potential copyright, licensing, and permissions requirements
  • Research copyright ownership and identify appropriate rights holders
  • Obtain permissions and licenses for third-party materials
  • Communicate and negotiate licensing terms, usage rights, and fees
  • Draft permission requests and licensing agreements using established templates
  • Purchase and maintain third-party licenses
  • Track license terms, permitted uses, restrictions, renewals, and expiration dates
  • Conduct periodic audits to ensure continued copyright and licensing compliance
  • Maintain accurate rights, permissions, and asset records within a Digital Asset Management (DAM) system
  • Partner with internal teams to explain copyright restrictions and appropriate use of third-party materials
  • Support the intellectual property team with broader copyright and asset compliance initiatives
  • Assist with external requests seeking permission to use the organization's intellectual property
  • Help identify opportunities to improve rights and permissions processes and workflows
