Grounds Manager

The Grounds Manager provides management, direction and leadership to ensure the property is maintained and operated in accordance with the needs of a large client as outlined in the Management Agreement between Vesta Property Services. The Grounds Manager is organized and detail oriented, oversees the community property assets, manages vendors and projects, and supervises a Maintenance Technician. This role is primarily office based, focusing on coordination, documentation, inspections, and reporting, with periodic site visits as needed.

RESPONSIBLITIES AND DUTIES Oversee all POA owned and POA maintained property including landscaped areas, stormwater systems, retention ponds, signage, lighting, fences, playgrounds, preserves and community features

Conduct routine and scheduled property inspections to identify maintenance needs, encroachments, safety concerns, and unauthorized use of common grounds

Manage maintenance, repair, and improvement projects from planning through completion, ensuring all required approvals are obtained prior to execution

Coordinate vendor solicitation, bidding, contract preparation, insurance verification, and performance oversight

Maintain accurate and well organized project records, contracts, work orders, inspection reports, and vendor files

Track project timelines, budgets, approvals, and status updates; prepare clear written reports for the Board, Committees, and Management Company Ensure all contractor work complies with approved scopes, specifications, and quality expectations through ongoing inspections and documentation

Oversee project closeout including punch lists, final invoices, and proper record filing

Supervisory role over the Maintenance Technician who performs grounds inspections, routine maintenance, and community upkeep activities

Identify operational efficiencies and proactively report maintenance concerns, trends, or risks to management

Grounds Manager is responsible for leading a Maintenance Committee to make best suggestions that support the property

REQUIRED EXPEREINCE AND QUALIFICATIONS High School Diploma or some college degree

Proven experience in community association, luxury residential, property, or facilities management, with direct responsibility for high profile common assets and amenities

Demonstrated success managing large scale projects, including stormwater pipe rehabs, infrastructure, or capital improvement contracts

Demonstrated ability to supervise maintenance staff and vendors effectively ensuring accountability, quality control, and compliance with contractual expectations

Strong knowledge of contractor management, including RFP development, competitive bidding, contract negotiation, scope development, and performance oversight

Valid driver’s license required

Working knowledge of landscape maintenance programs, irrigation systems, infrastructure assets, stormwater management, and long term asset preservation

Ability to read, interpret, and enforce contracts, scopes of work, construction documents, inspection reports, and warranty materials

Highly developed organizational and time management skills with the ability to manage multiple projects, deadlines and priorities accurately
