Summary

The Graduate Hall Coordinator (GHC) is a live‑in, 12‑month graduate staff member responsible for supporting the operational and programmatic functions of assigned residential communities. This developmental position provides practical professional experience in residential operations, staff supervision, student development, and crisis response for graduate students who have demonstrated strong performance and leadership.

Responsibilities
  • Desk Assistant Supervision and Development
    • Directly supervise Desk Assistants, including scheduling, training, onboarding, and day‑to‑day oversight.
    • Conduct regular one‑on‑one meetings to discuss performance, responsibilities, and professional development.
    • Monitor performance, provide coaching, feedback, and recognition.
    • Coordinate with the Area Coordinator regarding accountability and corrective action.
    • Maintain accurate scheduling records and ensure front desk coverage expectations are met.
  • Residential Operations and Facilities Management
    • Administer health and safety inspection process, including scheduling, conducting inspections, and ensuring timely follow‑up.
    • Conduct regular facility walkthroughs to identify maintenance, custodial, safety, and security concerns.
    • Submit maintenance requests and communicate unresolved concerns to Facilities Management and the Area Coordinator.
    • Support residence hall opening and closing processes at the building level as directed.
    • Facilitate individual room swap requests and communicate all room change information for processing through the Associate Director for Business Operations.
    • Maintain accurate community‑level records and incident documentation.
  • Programmatic Support and Residential Education
    • Support Resident Assistants in developing educational programs and community engagement initiatives aligned with the department’s residential curriculum.
    • Review RA program proposals, providing feedback on learning outcomes, event logistics, and community relevance.
    • Encourage student participation and engagement within assigned residential communities.
    • Assess programming efforts through participation data, student feedback, and learning outcomes and report findings to the Area Coordinator.
    • Identify community trends and opportunities for increased resident engagement and communicate recommendations.
    • Assist with implementation of departmental programming initiatives and student engagement efforts as directed.
  • On‑Call Duty Rotation and Emergency Response
    • Serve in a rotating on‑call schedule providing after‑hours support for assigned residential communities.
    • Respond to emergency situations, including medical concerns, facilities issues, student welfare concerns, and policy violations.
    • Assess situations and implement appropriate response protocols in consultation with supervisors.
    • Provide support to Resident Assistants during emergencies and ensure timely supervisor notification.
    • Complete incident reports accurately and submit documentation to the Area Coordinator in a timely manner.
    • Collaborate with Campus Safety, Facilities Management, Counseling Services, and other university partners during emergency situations.
    • On‑call weeks require reduced in‑office availability.
  • Student Support, Conflict Resolution, and Referral
    • Meet with residents experiencing personal, academic, social, or roommate concerns to provide initial support, guidance, and referral to appropriate campus resources.
    • Conduct first‑level roommate mediation meetings and facilitate roommate agreements under the direction of the Area Coordinator.
    • Document student interactions, mediation efforts, and referral activities accurately.
    • Consult with the Area Coordinator regarding complex student situations requiring professional intervention.
    • Educate residents regarding community expectations, residential living practices, and available university support services.
  • Incident Documentation and Conduct Referral
    • Identify and document policy violations and student behavioral concerns through accurate and timely incident report completion.
    • Refer all conduct matters to the Dean of Students Office as directed.
    • GHCs do not serve as conduct hearing officers and do not adjudicate cases or assign sanctions.
