Position Summary

We are seeking a reliable and detail‑oriented Fleet Maintenance Coordinator to oversee and manage company fleet assets. This role is responsible for coordinating vehicle procurement, leasing, maintenance, and record‑keeping to ensure fleet efficiency, safety, and compliance. The ideal candidate will be highly organized, proactive, and able to manage multiple priorities in a fast‑paced environment.

Key Responsibilities
  • Manage company fleet assets throughout their lifecycle, including purchase, leasing, maintenance, and disposal
  • Coordinate and schedule preventative maintenance and repairs to minimize downtime
  • Maintain accurate and up‑to‑date fleet records, including service history, inspections, and compliance documentation
  • Track vehicle usage, maintenance schedules, and repair costs
  • Communicate with vendors, service providers, and internal teams to ensure timely service and cost‑effective solutions
  • Monitor fleet condition and ensure vehicles meet safety and regulatory standards
  • Assist with budgeting and cost tracking related to fleet maintenance and operations
  • Support fleet reporting and documentation for management review
  • Perform other duties as assigned

Qualifications
  • High school diploma or equivalent required; additional training or certification in fleet management or automotive services is a plus
  • Prior experience in fleet coordination, maintenance, or a related field preferred
  • Strong organizational and record‑keeping skills
  • Ability to multitask and prioritize in a fast‑paced environment
  • Excellent communication and problem‑solving skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with fleet management systems preferred
  • Valid driver’s license with a clean driving record preferred
  • Ability to pass a background screening
Physical Requirements & Work Environment
  • Combination of office and field work, including time spent in fleet yards, repair shops, and outdoor environments
  • Extended periods of sitting or standing while working on a computer or reviewing records
  • Frequent walking between office and vehicle areas
  • Ability to occasionally lift up to 25 pounds
  • Exposure to varying weather conditions, vehicle noise, and shop environments
  • Visual acuity for reviewing reports, maintenance records, and vehicle conditions
  • Fast‑paced environment requiring attention to detail, organization, and timely follow‑up
  • Regular interaction with vendors, drivers, and internal teams
