Candidates must be bilingual in Japanese and English to be considered for this position.

Position SummaryThe Sales Administrator is responsible for providing administrative, analytical, and operational support to the Sales and Marketing teams. This position manages customer and sales data, maintains the company's Customer Relationship Management (CRM) system, coordinates sales and marketing activities, prepares reports and business analytics, and serves as a key communication liaison between Mimaki USA and the parent company in Japan.
The ideal candidate is highly organized, analytical, customer-focused, and detail-oriented, with excellent communication skills in both English and Japanese. This individual will play a critical role in supporting business operations by ensuring accurate reporting, maintaining CRM data integrity, coordinating marketing initiatives, and facilitating effective communication across departments and international teams.
Essential Duties and Responsibilities Sales Administration- Provide administrative and operational support to the Sales organization.
- Coordinate customer follow-up activities and support the sales cycle from lead generation through order fulfillment.
- Assist Sales Representatives with customer communications, account management, and sales initiatives.
- Track sales opportunities, customer activities, and performance metrics.
- Prepare sales forecasts and pipeline reports for management.
- Maintain and administer the company's CRM system, ensuring customer information, opportunities, contacts, and sales activities remain accurate and current.
- Monitor CRM data quality and perform regular audits to ensure data integrity.
- Generate reports, dashboards, and KPI metrics from CRM and ERP systems.
- Analyze sales trends, customer purchasing behavior, market activity, and business performance.
- Develop reports that support strategic planning and executive decision-making.
- Assist with the coordination of marketing campaigns, promotions, product launches, and customer communications.
- Support trade shows, dealer meetings, customer events, webinars, and marketing initiatives.
- Coordinate marketing materials, product literature, and presentation content.
- Serve as the primary liaison between Mimaki USA and the parent company in Japan regarding sales activities, marketing initiatives, forecasting, inventory, pricing, product information, and business reporting.
- Translate business correspondence, presentations, reports, and technical documentation between English and Japanese.
- Coordinate meetings, conference calls, project updates, and follow-up activities with colleagues in Japan.
- Communicate effectively with internal departments, including Customer Service, Accounting, Logistics, Service, Product Management, and Marketing, to ensure alignment and timely completion of projects.
- Maintain organized sales and marketing records and documentation.
- Assist with budgeting, forecasting, and reporting activities.
- Support special projects and continuous process improvement initiatives.
- Recommend improvements to sales processes, CRM utilization, and reporting efficiency.

- Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred.
- Minimum of 3 years of experience in sales administration, sales support, marketing coordination, business administration, or a related role.
- Fluency in both English and Japanese (spoken and written) is required.
- Experience administering CRM systems such as Microsoft Dynamics 365, Salesforce, Hub Spot, or similar platforms.
- Strong proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Experience with ERP systems is preferred.
- Excellent analytical, organizational, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to prioritize multiple projects while maintaining accuracy and meeting deadlines.
- Strong interpersonal skills with the ability to work effectively across departments and cultures.
- Professionalism in handling confidential business information.
- Experience supporting manufacturing, industrial equipment, printing technology, or distribution businesses.
- Experience working with Japanese headquarters or international business operations.
