Public Programs Coordinator

About This Opportunity

The Garden seeks a dynamic professional who can support our public program offerings, which are centered on our mission to bring together people, plants and culture. The person in this role will support and report to QBG’s Assistant Director of Public Program in all activities related to planning and implementation of QBG’s public programs, as well as the education department. The ideal candidate has a strong connection to our mission, as well as experience and interest in providing administrative support in the creation and implementation of strong cultural programming.

This role will be responsible for the following, in addition to any other projects and tasks assigned by the Assistant Director of Public Programs.

Responsibilities:

Assist in the planning and execution of small and large events such as festivals, workshops, performances, and other cultural events

Assist in designing, coordinating and facilitating botanical and environmentally themed activities such as workshops, for the public onsite and off-site Support with post-event tasks such as data tracking

Support marketing and communication efforts by drafting event descriptions and event platform management such as Eventbrite Help manage online registration, vendor applications, and invoicing

Support tracking and outreach to all vendor relations, occasionally acting as day-to-day contact for all vendors & concessionaires

Work with other QBG staff to curate and lead walking tours and talks highlighting the QBG’s collection and work Assist with oversight of departmental interns and volunteers for planning and delivering programming such as single day activities, events, workshops and discovery programs

Conduct community outreach

Support teaching, administrative and logistical duties of education department, as needed

Create signage and materials for events and programming

Manage and organize supplies and inventory

Assist with event setup and breakdown

Qualifications:

    At least 2-3 years of experience in education, event planning, public realm programming, hospitality/tourism or related fields Effective administrative and organizational skills (inclusive of Excel, MS Word, Outlook, Slack, and Zoho forms), design skills a plus Excellent communication, facilitation, writing and proofreading skills

    Organized and proactive, with strong problem-solving skills with an eye for detail and ability to work independently

    Team-player with strong interpersonal skills Strong passion and interest in botany and environmental sustainability Interest and experience in creating safe, welcoming spaces for people of all backgrounds Experience working in outdoor education, particularly in environmental, botanical or gardening a plus Bilingual or multilingual skills are preferred, particularly in languages commonly spoken in the communities we serve (e.g., Spanish, Mandarin, Korean, or other) a plus

Physical Demands:*

    Ability to lift and move up to 40 pounds safely Ability to perform diverse, sometimes repetitive, tasks that can be physically demanding Fast-paced environment working approximately 100+ programs and events in the year Quickly crossing Garden grounds for various needs and communication with team leads Comfortable working and standing outdoors in various weather conditions for long hours during set-up and shows

Schedule:

This is a part-time regular position. The schedule for this position is approximately 20 hours per week, Thursday through Sunday, with flexibility to work Wednesday through Saturday some weeks, depending on events schedule.

Compensation: $25/hour
