- Oversee daily operations of the Special Events team, including event assignment, scheduling, workflow management, and monitoring timelines to ensure milestones and deliverables are met
- Tracks the full lifecycle of each event from initial planning through execution and post-event wrap-up
- Creates event execution plans for large scale events while also supporting team members with reviews for smaller scale projects
- Maintains oversight of all event logistics, ensuring all operational areas have been addressed and coordinated
- Serves as a point of contact for vendors as needed, including communication, coordination, and follow-up
- Enter and manage event orders, purchase orders, and invoicing within Stratton Warren, ensuring accuracy, compliance, and timely submission
- Tracks event budgets before, during, and after events while also flagging variances or concerns to management
- Assists with maintaining departmental organization, processes, and best practices
- Supports long-range planning by helping the team stay ahead of deadlines and deliverables
- Establish and maintain relationships with internal and external partners
- Assists with collateral requests and approval processes related to events
- Helps maintain team accountability, morale, and goal alignment
- Ensure all required documentation is completed, organized, and filed appropriately
- Assists with problem-solving and operational adjustments as events evolve
- Other duties as assigned
- Bachelor's degree in business administration, Marketing, Communications, Event Production, Event Planning or related field OR equivalent, proven professional experience in event planning is required
- A minimum of 3 years of experience in event planning, coordination, or special events operations is required
- Proven experience overseeing workflows, timelines, or team tasks in a fast-paced environment is required
- Proficient in Microsoft Word, Excel, and Outlook is required; experience with event management systems and procurement platforms is preferred
- Strong organizational and time-management skills with the ability to manage multiple events simultaneously
- Detail-oriented with strong follow-through and accountability
- Ability to communicate effectively with internal teams, vendors, and leadership
- Willingness and ability to work evenings, weekends, and holidays as required by event schedules
- Must possess a valid driver’s license
- Ability to work outdoors in varying weather conditions, including heat, cold, rain, and humidity
- Able to travel and work beyond normal business hours including nights and/or weekends
