The Budget and Finance Department ensures the integrity of accounting information for multiple entities by recording, verifying and reconciling transactions resulting in accurate financial reporting and analysis, while adhering to the Generally Accepted Accounting Principles (GAAP). The Accounts Payable Specialist has diversified responsibilities - supporting overall Budget and Finance operations and goals, providing exceptional customer service to our executives and team members, and impacting on the growth of our company.
JobOverview:
We are seeking a meticulous and results-oriented Accounts Payable Specialist to join our dynamic finance team. In this role, you will be responsible for the full cycle of accounts payable processes, ensuring accurate and timely payments to vendors while maintaining compliance with company policies and accounting standards.
Key Responsibilities:Accounts Payable (AP)-
- Review and process invoices, ensuring proper documentation and approvals
- Code invoices accurately to the general ledger
- Prepare and distribute timely payment reports
- Process payments through various methods (checks, ACH, credit cards)
- Check & record daily banking payment activity
- Maintain vendor records including W-9s and payment details
- Yearly 1099 preparation
- Resolve vendor inquiries and reconcile vendor statements
- Conduct account analysis as needed
- Manage and code credit card charges accurately
- Process and review employee expense reports
- Preparation of executive expense reports
- Assist employees with expense reimbursement questions
- Reconcile credit card statements
- Assist with month-end and year-end closing activities
- Audit/review support by providing documentation and responding to inquiries
- Maintain organized financial records and documentation
- Contribute to other projects as needed
- Reconcile AP and prepaid accounts
- Minimum of 3 years of Accounts Payable experience preferred
- High school diploma or GED required, college coursework in accounting a plus
- Moderately proficient in Excel
- Experience with ERP systems (Sage Intacct a plus) and expense management software (Certify/Emburse a plus)
- Strong knowledge of basic accounting principles and accounts payable processes
- Proficient in navigating, viewing, and organizing digital documents using standard PDF readers
- Reconciliation skills
- Excellent documentation, research, and data analysis skills
- Ability to perform mathematical calculations accurately and efficiently (such as %'s)
