Job Summary

The Data Entry Clerk — Human Resources is responsible for accurately entering, updating, maintaining, and organizing employee and HR-related information in HR systems and databases. This position supports HR operations by maintaining employee records, processing personnel documentation, assisting with payroll and benefits data, and ensuring HR information is accurate, complete, confidential, and accessible to authorized personnel.

Key Responsibilities
  • Enter and update employee information in HRIS, payroll, benefits, and other HR systems.

  • Maintain accurate employee records, including personal information, job details, employment status, department, compensation, and organizational information.

  • Process new-hire documentation and enter onboarding information into HR systems.

  • Update employee records for promotions, transfers, salary changes, department changes, leave status, and terminations.

  • Verify HR data against source documents to ensure accuracy and completeness.

  • Review personnel forms, applications, time records, benefits documents, and other HR paperwork for missing or inconsistent information.

  • Enter and maintain employee attendance, timekeeping, leave, and absence information as assigned.

  • Assist with payroll-related data entry and verification, including hours worked, overtime, deductions, and employee status changes.

  • Support benefits administration by maintaining enrollment, eligibility, and employee benefit information.

  • Enter and update recruitment information, candidate records, interview data, and hiring documentation in applicant tracking systems.

  • Maintain accurate employee and candidate records in HRIS and applicant tracking systems.

  • Scan, upload, organize, and electronically file personnel documents.

  • Maintain confidential electronic and physical personnel files according to company policies.

  • Retrieve HR records and information for authorized HR staff and management.

  • Prepare employee lists, reports, spreadsheets, and data summaries for HR activities.

  • Assist with HR audits by reviewing employee records and identifying missing or inconsistent information.

  • Perform data cleanup and identify duplicate, outdated, or inaccurate employee records.

  • Assist with employee data reconciliation between HRIS, payroll, benefits, and other systems.

  • Respond to routine internal requests for employee information in accordance with authorization and confidentiality requirements.

  • Route HR forms and documentation to the appropriate HR team members for review and approval.

  • Maintain documentation of employee data changes and supporting records.

  • Protect sensitive employee information, including personal, payroll, compensation, benefits, and employment records.

  • Follow HR policies, data privacy requirements, records-retention procedures, and internal controls.

  • Meet established data-entry accuracy, productivity, and processing deadlines.

  • Identify opportunities to improve HR data-entry procedures, recordkeeping, and administrative workflows.

Qualifications
  • High school diploma or equivalent required.

  • Associate degree or coursework in Human Resources, Business Administration, or a related field preferred.

  • 1–2 years of experience in data entry, HR administration, office administration, or a related role preferred.

  • Strong typing and data-entry skills with a high level of accuracy.

  • Basic understanding of human resources terminology and employee records.

  • Proficiency with Microsoft Excel, Word, and Outlook.

  • Strong attention to detail and organizational skills.

  • Excellent ability to maintain confidentiality.

  • Good written and verbal communication skills.

  • Ability to manage repetitive tasks while maintaining accuracy.

  • Ability to prioritize multiple administrative tasks and meet deadlines.
