Administrative Assistant

Care-a-Van/Saint, Inc.

Nonprofit, Part-time, Administrative, Hourly: $20 - $20

We're looking for a part-time Administrative Assistant to support our day-to-day operations. This role is a mix of front-line communication and behind-the-scenes coordination—ideal for someone who is organized, friendly, and comfortable using technology in a fast-paced environment.

As a small, mission-driven nonprofit, our team works closely together to ensure riders receive exceptional service. This position plays an important role in helping older adults and adults with disabilities remain independent and connected to their community.

Key Responsibilities

  • Answer phones and assist riders & drivers with scheduling questions (primarily mornings)
  • Communicate clearly and kindly with riders, drivers, and community members
  • Use our scheduling software (Trip Master) to view, update, and support ride coordination
  • Support scheduling team with administrative tasks
  • Assist with a variety of operational, outreach, and administrative projects as needed
  • Update website content as needed (training provided)

Qualifications

  • Strong communication skills (phone and written)
  • Bilingual English/Spanish applicants are strongly encouraged to apply
  • Highly organized and detail-oriented
  • Comfortable learning and using software systems (scheduling platforms, One Drive Excel spreadsheets, Squarespace website)
  • Able to navigate multiple systems at once and troubleshoot basic issues
  • Friendly, patient, and compassionate—especially when working with older adults and adults with disabilities
  • Prior administrative, customer service, or scheduling experience preferred
Benefits
  • Hourly rate: $20/hour
  • Paid Time Off (PTO):
    Accrue up to 40 hours of PTO annually (equivalent to 2 weeks for a 20-hour/week employee).
