The National Laboratory of the Rockies is searching for an Administrative Assistant to provide high-level administrative support within the Catalytic Carbon Transformation and Scale-up Center. The center works in the area of heterogeneous catalysis for conversion of alternative carbon feed stocks to enable efficient, cost-effective pathways for producing chemicals, fertilizers, materials, and fuels. The center also focuses on biorefinery integration, scale-up, and economic analysis of bioenergy systems.
The successful candidate will support the Techno-Economic and Process Analysis team, and will also support other Business Support team members across the center in their absence and on an as-needed basis. This position can be fast paced and dynamic. Excellent communication, organizational, interpersonal and multi-tasking skills are critical to successfully executing the duties of the job. This is a very customer-oriented position, and you may be asked by internal staff to assist with a variety of tasks, not limited to the job duties described below.
The successful candidate must be able to work with a wide variety of day-to-day issues and work styles.
- Line Manager calendar maintenance.
- Purchase card ordering and reconciliation.
- Meeting and event planning and scheduling, including coordination and logistics for on-site and potentially off-site meetings, webinars, and/or workshops.
- Coordination for new employee interviews, hiring, and onboarding
- Interfacing with outside entities and individuals including subcontractors, vendors, speakers, and others as needed.
- Processing work orders and move forms.
- Working with numerous online administrative tools
- Coordinating foreign and domestic travel including submitting requests, tracking approvals, reserving airfare, lodging and rental cars and processing expense reports
- Purchase orders, requisitions and invoice processing, as well as coordinating placement of subcontracts.
- Coordinating lab inspections, taking notes and submitting findings in online tools
- Composing presentations
- Assisting with publication preparation and documentation
- Other duties as assigned.
- High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience.
- Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience.
- Solid knowledge of the job.
- Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job.
- Intermediate skills in applicable software packages and office equipment.
- Basic project administration skills.
- Ability to prioritize work.
- Proficient in written and verbal communications.
- Very good team and interpersonal skills.
- * Must meet educational requirements prior to employment start date.
Required Qualifications
- Considerable knowledge of specialized focused business support functions.
- Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered.
- Experienced skills in applicable software packages (primarily Microsoft Word, Excel, and PowerPoint) and office equipment.
- Demonstrated project administration skills.
- Full knowledge of specific principles, procedures and practices related to supported fields and disciplines.
- Strong written and verbal communication skills, team and interpersonal skills.
- Must be willing to come onsite to the laboratory campus a minimum of 3 days per week.
