Executive Administrative Assistant – Chief Clinical & Medical Officer

  • Salary Range: $63,731 - $89,232 annually, based on relevant years of experience
  • Status: Full-time, 40 hours per week
  • Hours: D aytime shift typically 8am- 5pm with some flexibility

Role Overview:

Summit Stone Health Partners is seeking an Executive Administrative Assistant to provide high-level, confidential administrative and operational support to the Chief Clinical & Medical Officer (CCMO). In this highly visible role, you will serve as a trusted partner in a fast-paced healthcare environment, managing complex calendars, communications, meeting coordination, documentation, and follow-up across clinical, medical, inpatient, outpatient, as well as communication with other community leaders and partners.

The ideal candidate is proactive, detail-oriented, calm under pressure, and skilled at anticipating needs, managing competing priorities, exercising sound judgment, and communicating with professionalism and discretion. Your work will help strengthen coordination among executive leadership, medical staff, clinical leaders, operational teams, and external partners while supporting Summit Stone’s mission, values, and strategic priorities.

  • Manage complex executive calendars, schedules, meeting logistics, travel, priorities, and administrative workflows for the CCMO; proactively identify conflicts, anticipate needs, and coordinate activities across inpatient, outpatient, clinical, medical, and operational service lines .
  • Prepare, manage, and prioritize executive communications and correspondence, including email , phone communication , meeting materials, agendas, minutes , and follow-up actions, ensuring timely, accurate, polished, and professional interaction with internal and external stakeholders.
  • Use independent judgment, discretion, and problem-solving skills to prioritize competing demands, resolve administrative issues, protect confidential information, and determine appropriate courses of action with minimal supervision.
  • Coordinate meetings, documentation, and communications for physician leadership, clinical leadership, quality initiatives, operational work groups, and executive committees while maintaining accurate organizational records and resources.
  • Support the CCMO in maintaining effective relationships with community partners, regulatory agencies, county and state organizations, healthcare partners, and other external stakeholders by coordinating meetings, communications, and follow-up activities.
  • Partner with executive leadership, administrative staff, Compliance, Finance, People, Culture, and Learning, Information Technology, Medical, and Operations teams to coordinate board communications, meeting logistics, and organizational priorities.
  • Research, compile, analyze, proofread, and prepare executive reports, presentations, correspondence, briefing materials, and other business documents requiring advanced attention to detail, professionalism, discretion, and accuracy.
  • Support departmental operations by processing invoices, monitoring budgets, reconciling expenses, maintaining organizational documents, approving timekeeping transactions as assigned, and ensuring administrative processes are completed accurately.
