We are seeking a detail-oriented and customer-focused Parts & Service Manager to support our service department and ensure a seamless experience for our customers.
The Parts & Service Coordinator serves as a key link between customers, technicians, and vendors. This role is responsible for coordinating service work, managing parts inventory, preparing estimates, and ensuring timely communication throughout the service process. The ideal candidate is organized, mechanically inclined, and thrives in a fast-paced environment.
Key Responsibilities Service Coordination- Schedule service appointments and coordinate workflow with technicians
- Open, track, and close service work orders
- Advise customer of recommended repairs
- Communicate service status updates to customers clearly and professionally
- Ensure accurate documentation of labor, parts, and repairs
- Advise customers of additional services available
- Identify, source, and order trailer parts and accessories
- Maintain accurate parts inventory and pricing
- Receive, stock, and issue parts to technicians
- Work with vendors to ensure timely delivery and resolve discrepancies
- Greet and assist customers in person, by phone, and via email
- Provide basic technical guidance regarding parts and service needs
- Prepare service estimates and explain charges clearly
- Handle billing, invoicing, and warranty documentation as needed
- Maintain service and parts records in dealership systems
- Support warranty claims and manufacturer documentation
- Assist with maintaining a clean, organized service and parts area

Qualifications & Skills
- High school diploma or equivalent (technical or automotive background a plus)
- Previous experience in parts, service coordination, automotive, trailer, or equipment service preferred
- Strong organizational and multitasking skills
- Excellent customer service and communication abilities
- Supervisory experience
- Mechanical aptitude and willingness to learn trailer systems
- Proficiency with computers and service/parts management software
- Ability to work independently and as part of a team
- Ability to lift up to 50 lbs occasionally
- Ability to stand, walk, and work in a shop environment
