The Fort Dodge Community School District serves over 3,600 students in one early learning center, four elementary schools, one new middle school and one high school. All positions assigned 30 or more hours weekly are eligible for a full benefits package, including medical, dental, vision insurance and paid leave.

Position Purpose

Under the direct supervision of the principal or another school administrator, provide clerical, secretarial, and administrative assistance to school administrators at a school site, conveying information regarding school functions and procedures and supporting the broad array of services provided to students, parents, instructional and support employees, and coordinating the work of other school clerical employees.

Essential Functions
  • Compose documents such as notices, correspondence, bulletins, reports, newsletters and handbooks for principals or other school administrators.
  • Maintain the daily, weekly, and monthly calendar of the principal to coordinate scheduling of work‑related appointments, activities, and meetings.
  • Assist in planning and scheduling school events and activities, including orientation, open house, field trips, sporting events, assemblies, and conferences.
  • Maintain documents, files, and records to provide up‑to‑date reference and an audit trail for compliance.
  • Prepare purchase orders for submission to the school district’s accounting/finance office.
  • Maintain inventories of supplies and materials to ensure availability.
  • Assist visitors to the office, including students, parents, substitute teachers, and others.
  • Answer telephone calls and provide information and assistance to callers.
  • Distribute incoming mail appropriately and send outgoing mail.
  • Schedule appointments with students, parents, teaching staff, or others as requested.
  • Evaluate situations and take appropriate action or direct to the appropriate personnel for resolution.
  • Register new students, ensuring forms are completed, obtaining transcripts and other documentation, and entering data into the computer system regarding enrollment and student records.
  • Respond to inquiries from students, parents, and employees, facilitating communication among parties and providing direction.
  • Serve as liaison with outside organizations (e.g., transportation, food service, suppliers) to coordinate scheduling of deliveries, activities, and other services.
  • Support, guide, lead, train, and coordinate the work of school clerical employees.
  • Maintain reliable work attendance.

Perform other related duties, as assigned, to ensure the efficient and effective functioning of the school.

Qualifications
  • High School Diploma or equivalent.
  • Associate’s degree with coursework in business, math, word processing, office procedures, and record keeping preferred.
  • Shorthand or speed writing skills desirable.
  • Successful experience with office management preferred.
Physical and Mental Demands, Work Hazards
  • Work in standard office and school building environments.
  • Ability to work outdoors during student outdoor activities.
Working Conditions
  • District office hours, indoors, evenings, weekends.
