Overview
The Facilities Assistant is responsible for supporting the maintenance and operational needs of facilities, such as inspecting equipment, machinery, and systems to ensure cleanliness and good working conditions. The role updates asset tracking systems, maintains building layouts to meet regulatory standards, and assists in organizing maintenance schedules. The role works on facility data management, ensures safety standards are always followed, and works on event setup and equipment maintenance.
The role responds to and addresses facility‑related concerns and supports financial operational processes.

Responsibilities Facilities Maintenance- Participates in routine inspections of machinery, office equipment, and systems, and ensuring building systems and equipment remain in good working condition.
- Updates the facility’s asset tracking system, ensuring that all equipment and assets are properly logged and accurately tracked.
- Updates building layouts and plans to ensure compliance with local, state, and federal codes, adjusting as needed for regulatory and operational requirements.
- Supports in organizing routine maintenance schedules and preventive work orders, ensuring regulatory compliance and timely completion.
- Assists with the organization and management of facility data, ensuring the accuracy and integrity of information in the system.
- Ensures all installations, repairs, and maintenance activities conform to safety standards, protocols, and customer requests.
- Documents maintenance activities, repairs, and inspections in accordance with departmental policies and warranty/vendor requirements.
- Coordinates with various departments to ensure timely and efficient use of facility resources and equipment.
- Assists with the setup and maintenance of audio‑visual equipment and other special items for events, meetings, and training sessions.
- Responds to questions, concerns, and requests from staff, ensuring satisfaction and addressing facility‑related issues with professionalism and efficiency.
- Assists with the review and approval of related billing processes, ensuring accuracy and compliance with budgetary requirements.
Education: High school diploma or GED equivalent required. Associate’s degree in facilities management or equivalent preferred.
Work Experience: Two years of experience in facilities management in a hospital or healthcare setting required.
Licenses and
Certifications:
CHFM‑AHACC Certified Healthcare Facility Manager. Demonstrates knowledge of compliance; planning, design, and construction; and maintenance and operations preferred.
Skills and Abilities
- Knowledge of basic building systems (HVAC, plumbing, electrical, and mechanical) and their maintenance.
- Proficiency in maintaining inventory of tools and equipment, tracking usage, scheduling downtime and preventive maintenance, and using asset‑tracking systems and software to ensure availability and proper management.
- Strong ability to manage multiple tasks simultaneously, maintain accurate records, and ensure timely completion of maintenance activities.
- Ability to identify maintenance issues, recommend solutions, and coordinate repairs effectively.
- Knowledge of healthcare laws and patient rights, including HIPAA and informed consent, as well as safety standards and emergency protocols.
- Ability to interact effectively with internal and external stakeholders, manage executive correspondence, and draft clear, professional responses.
- Ability to develop and implement comprehensive maintenance plans and schedules to optimize equipment uptime and resource utilization.
- Ability to assess and evaluate the condition and functionality of physical facilities.
