Position Overview

The Accountant – Payroll is responsible for end-to-end payroll processing and the accurate allocation of payroll-related costs to construction projects, cost codes, and departments. This role ensures payroll, labor burden, and workers’ compensation costs are properly recorded in the general ledger, job cost reports, and work-in-progress (WIP) schedules, and that all labor-related costs are accurately reflected in the company’s financial statements in accordance with GAAP.

This position requires hands-on construction payroll experience, strong knowledge of job costing, and a deep understanding of how payroll, labor burden, and workers’ compensation directly impact project profitability and financial reporting.

Key Responsibilities Payroll Processing, Compliance and Vehicle Chargeback
  • Process weekly payroll for salaried employees.
  • Ensure accurate calculation and recording of:
    • Regular and overtime labor
    • Prevailing wage and certified payroll (where applicable)
    • Per diem, travel, bonuses, and fringe benefits
    • Payroll taxes, garnishments, and deductions
  • Maintain compliance with federal, state, and local payroll tax requirements and construction labor regulations.
  • Ensure company owned vehicles are properly assigned to employees and charge rates for assets trend with time allocation appropriately.
Job Costing, Labor Burden & Financial Accuracy
  • Allocate payroll and labor burden costs accurately to:
    • Jobs, phases, and cost codes
    • Departments and overhead accounts
  • Ensure payroll-related postings properly impact Jobs, General ledger and all assigned ledger classifications.
  • Prepare and post payroll-related journal entries, including accruals, reclasses, and labor burden allocations when needed.
  • Reconcile payroll registers to:
    • General ledger accounts
    • Job cost subledgers
    • Accrued payroll, payroll tax, and labor burden liability accounts
  • Identify, research, and resolve payroll coding or allocation issues that could impact financial reporting.
Workers’ Compensation Reporting & Recordkeeping
  • Maintain accurate workers’ compensation records by:
    • Job, cost code, and labor classification
    • State jurisdiction and employee class
  • Prepare and submit workers’ compensation reports, audits, and payroll true-ups with carriers and third-party administrators.
  • Ensure workers’ compensation premiums are properly accrued, allocated, and recorded in the general ledger and job cost system.
  • Support annual workers’ compensation audits by providing payroll detail, job costing support, and reconciliation schedules.
Month-End Close, Audit & Reporting Support
  • Ensure payroll and workers’ compensation costs are fully captured in the correct accounting period.
  • Support month-end close through accurate labor cost accruals and reconciliations.
  • Assist with:
    • External audits
    • Internal control reviews
    • Labor cost and margin analysis
  • Provide payroll, labor, and workers’ compensation data to project accounting, operations, and management.
HR & Employee Data Administration (Accounting-Focused)
  • Maintain accurate payroll and cost-related employee data, including:
    • Pay rates and labor classifications
    • Job and cost code assignments
  • Support onboarding and offboarding from a payroll and accounting perspective.
  • Coordinate with HR and Operations to ensure payroll data aligns with job assignments and project staffing.
Required Qualifications
  • 3+ years of payroll accounting experience in a construction or job-costing environment
  • Demonstrated experience processing payroll and posting payroll, labor burden, and workers’ compensation costs to the general ledger and job cost systems
  • Strong understanding of:
    • Construction job costing
    • Payroll accruals, labor burden, and workers’ compensation allocations
    • GAAP as it relates to labor costs, WIP, and financial reporting
  • Experience with construction accounting systems (e.g., Sage 300 CRE, Viewpoint, Procore, HH2, or similar)
  • Exceptional attention to detail with strong reconciliation and analytical skills
Preferred Qualifications
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field
  • Experience with:
    • Prevailing wage and certified payroll
    • Multi-state payroll
    • Workers’ compensation audits and rate true-ups
  • Familiarity with WIP reporting and construction revenue recognition
  • Advanced Excel skills for labor, payroll, and workers’ compensation analysis
