Contributes to the university’s success by providing a variety of administrative services in support of the College of Dental Medicine (CDM) senior management, including but not limited to responding to and resolving complex problems, fielding telephone calls, scheduling meetings, organizing events, composing and editing correspondence, and providing general office support, while delivering high‑quality customer service to internal and external contacts.

Essential Job Functions- Manages students’ lockers issues, prepares work orders and annual lockers switch‑over from junior to senior students.
- Prepares and sends monthly Simulation Lab schedules to faculty and students.
- Coordinates activities/functions for dental school deans and other senior leadership within NSU as well as between NSU and external contacts such as students, patients, and other governing representatives.
- Responds to inquiries and resolves complex problems requiring in‑depth understanding of work‑area policies and procedures to ensure questions are answered and issues resolved timely.
- Reviews data, follows up on discrepancies, and maintains records in management database systems to ensure accuracy.
- Enters data and generates reports from NSU specific software systems to ensure accurate processing and record‑keeping.
- Coordinates travel arrangements to ensure efficient use of management’s time.
- Processes financial transactions such as check requests, purchase orders, and travel reimbursements to ensure timely record‑keeping.
- Assists Principal Investigators in the preparation of grant proposals and grant certifications to ensure timely compliance.
- Performs general office duties, such as ordering supplies (lab coats, business cards, etc.), and performs basic bookkeeping work.
- Coordinates accreditation activities.
- Completes special projects as assigned.
- Performs other duties as assigned or required.
Knowledge
- Clerical – thorough knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Customer and Personal Service – thorough knowledge of principles and processes for providing customer and personal services. This includes needs assessment, meeting quality standards for services, and evaluation of user satisfaction.
- English Language – thorough knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Advanced knowledge of MS Office Suite (Outlook, Word, Excel, PowerPoint).
- Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.
