POSITION OVERVIEW
The Client Development Coordinator supports the growth of the company by assisting in the acquisition of new clients and the maintenance of our current clientele. In this role, you will work directly with the management team to implement development strategies, utilizing our support staff for Lead generation, graphics, tech, website, and HR needs.
You will also serve as a key link between sales and operations, working directly with our Production Managers who oversee all event productions and engage with current clients to ensure clear communication and seamless project initiation.
KEY RESPONSIBILITIES New Client Coordination & Acquisition Support- Lead Coordination:
Support the search for new clients by following up on leads generated through Zebedee’s active marketing program. - Resource Utilization:
Coordinate with support staff to ensure sales materials, graphics, and website resources are effectively used to attract new business. - First Impressions:
Act as a welcoming first point of contact for inquiries, ensuring new potential clients are greeted with professionalism and enthusiasm.
- Client Communication:
Assist in maintaining relationships with current clientele through routine check-ins, scheduling, and responsive communication. - Engagement Tracking:
Monitor client activity from initial contact through post-event follow-up to ensure long‑term retention and satisfaction. - Vision Gathering:
Collaborate with clients to document their event vision, carefully recording scope, objectives, and preferences for the production team.
- Production Handoff:
Coordinate with Production Managers to transfer client briefs and project details efficiently, ensuring nothing gets lost in translation. - Database Management:
Maintain accurate records in company systems, tracking client details and updating project statuses. - Sales Administration:
Support the management team with administrative tasks such as drafting proposals, processing invoices, and maintaining internal documentation.
- Coordination
Experience:
Experience in a sales support, coordinator, or administrative role, preferably within the events or hospitality industry. - Interpersonal
Skills:
Strong ability to build rapport with clients and work collaboratively with internal leadership and production teams. - Organizational Detail:
High attention to detail with the ability to track multiple leads and client files simultaneously. - Tech Savvy:
Proficiency with Microsoft Office Suite/Google Workspace; familiarity with CRM systems is a plus. - Proactive Attitude:
Eager to learn and support business growth, with the adaptability to handle shifting priorities in a fast‑paced environment. - Communication:
Excellent written and verbal communication skills, suitable for interacting with high‑end corporate and private clients.
