IDEAL CANDIDATEThe ideal candidate is an experienced Litigation Legal Assistant who is highly adaptable and thrives in a fast-paced environment. They can step in seamlessly to support multiple attorneys with minimal ramp-up time and bring a strong working knowledge of litigation procedures, court rules, and legal terminology. This individual is detail-oriented, organized, and dependable, with excellent time-management and communication skills, a high level of discretion, and proficiency in e-filing systems, document management platforms, and Microsoft Office.
DUTIES/RESPONSIBILITIES- Interacts with clients as required and as requested by the attorney.
- Processes new matters and conflict requests; performs conflict maintenance on existing matters, as required.
- Responds to and resolves administrative inquiries and questions.
- Answers and screens phone calls, when necessary.
- Reviews and processes all incoming or outgoing mail and saves it electronically in the document management system.
- Maintains files and records according to departmental policies and procedures.
- Ensures attorney time is correctly entered by the deadline and performs month-end billing processes.
- Gathers client accounting information and generates accounting reports available through accounting software as requested; ensures timely payment of vendor invoices.
- Prepares and submits monthly expense reports.
- Maintains Bar requirements, i.e., CLEs, Board Certification Applications and Renewals, and Court Admissions.
- Coordinated and schedules travel, meetings, and appointments.
- Schedules deadlines, hearings, depositions, mediations, and meetings in coordination with the case team, witnesses, experts, opposing counsel, court reporters, judicial assistants, and/or mediators.
- Coordinates food orders, reserves conference rooms, and arranges IT and other setups as required.
- Prepares hearing files as requested and uploads courtesy copies and proposed orders to the Court.
- Provides document production services (typing and transcription), to include preparation of client correspondence, engagements or retainer agreements, motions, notices, and orders, as requested.
- Proofreads all documents, checking for appropriate formatting, spelling, and grammatical errors, and ensuring that all attachments, exhibits, and enclosures are intact.
- Electronically files documents with the appropriate court, state, federal venues, and administrative agencies.
- Oversees file closing to ensure all funds have been distributed and vendor invoices have been paid.
