We are seeking an Administrative Assistant/ Office Manager. This is a cornerstone role in our organization and a critical partner to our leadership team.
Role SummaryThe Office Manager & Administrative Assistant will serve as the operational anchor of our Fort Lauderdale office and a trusted right hand to senior executives.
This role combines full ownership of office operations with high-level executive support. You will run the office as a business, while also managing priorities for the C‑suite.
We are looking for a true hand‑raiser: someone who anticipates needs, takes ownership without being asked, and thrives in a fast‑moving executive environment.
Key Responsibilities- Office Management & Operations
- Own day‑to‑day operations of the Fort Lauderdale office
- Manage office vendors, facilities, supplies, maintenance, and services
- Oversee conference rooms, kitchen, common areas, and overall office experience
- Manage office access, badges, visitors, and security coordination
- Plan and execute office moves, build‑outs, and expansions as needed
- Ensure a professional, organized, and high‑functioning office environment
- Manage large scale monthly events where the C‑suite travels to the Florida office for one week
- Assistant Support (C‑Suite)
- Provide direct administrative support to senior executives
- Manage complex calendars, scheduling, and meeting logistics
- Coordinate domestic and international travel, itineraries, and expenses
- Prepare materials for executive meetings, board meetings, and presentations
- Serve as a gatekeeper and trusted liaison for internal and external stakeholders
- Handle confidential and highly sensitive information with discretion
- Business & Administrative Support
- Draft correspondence, memos, and internal communications
- Track action items, follow‑ups, and deadlines for executives
- Support HR in onboarding of senior hires and executives
- Assist with event planning, offsites, and leadership meetings

- Advanced proficiency with Microsoft Office and collaboration tools
- Strong written and verbal communication skills
- Experience supporting multiple executives simultaneously
- Some HR experience
- Experience in a fast‑growing or scaling company
- Experience coordinating board meetings and executive offsites
- Comfort working with confidential, sensitive, and high‑impact information
