Position Overview
The Office Administrator supports the daily operations of the office to ensure a well-organized, efficient, and welcoming work environment. This role handles administrative tasks, supports employees and leadership with day-to-day needs, and ensures the office is fully stocked, functional, and running smoothly. The ideal candidate is organized, detail-oriented, proactive, and comfortable juggling multiple tasks while maintaining a friendly and professional presence.
Key Responsibilities- Monitor daily office operations, including inventory supply, office organization, and general upkeep of the office.
- Maintain fully stocked office supplies by restocking daily and throughout the day when necessary.
- Monitor office equipment (printers, copiers, kitchen appliances) and coordinate repairs when required.
- Assist with scheduling meetings, preparing documents, event planning, and ordering lunches as needed.
- Serve as a friendly, reliable point of contact for employee requests and general office questions, creating a positive, organized, and professional office environment.
- Maintain relationships with vendors and service providers; tracking servicing schedules.
- Coordinate maintenance requests with building management, security, and vendors as needed.
- Submit all office-related expenses for approval and invoicing, including benefits, vendors, etc.
- Handle incoming and outgoing mail, packages, and deliveries.
- Maintain office records, logs, and digital files with accuracy and confidentiality.
- Provide clerical and administrative support to staff and leadership.
- Assist with onboarding tasks such as requesting background checks, workspace setup, equipment placement, badges/fobs, and welcome materials.
- Help maintain personnel files and assist with I-9 verifications in accordance with compliance requirements.
- Other duties as assigned.
- Associate’s degree in business administration or related field.
- 1–2 years of experience in office administration, reception, or administrative support.
- Strong organizational and time management skills with the ability to prioritize.
- Proficiency in Google Workspace.
- Excellent written and verbal communication skills.
- Professional, friendly, and service-oriented demeanor.
- Ability to work independently with minimal supervision.
- High level of discretion and confidentiality.
- Office hours:
Monday–Friday, 9:00 am – 5:00 pm. - Company Sponsored Health insurance, including dental and vision.
