OverviewOwn the back office that keeps a growing marine electronics company moving.
Concord Marine Electronics designs, installs, and supports advanced electronics and internet systems on larger yachts. We’re booked out ~60 days and need an Administrative Operations Coordinator to take ownership of the day-to-day admin work that currently buries our General Manager.
This role reports directly to our GM in our Fort Lauderdale office and is a key part of how we grow.
What you’ll do- Own invoicing prep and follow up on missing job info in Quick Books
- Own technician time, mileage, and payroll-support records
- Create Estimates using QB and Drop Box
- Take customer payments
- Reconcile internal Bills/invoices
- Handle routine parts ordering and purchasing follow-up
- Keep shipping/vendor paperwork organized and complete
- Build simple SOPs (checklists) for the recurring processes you own
- Provide backup support when our purchasing/shipping lead is out
- You notice missing details without being told
- You close loops and hate “open-ended” tasks
- You stay organized when volume increases
- You naturally build checklists, trackers, and simple systems
- You care about outcomes (jobs billed, time correct, parts ordered), not just “I did my tasks”
- By Day 30:
You understand our workflows and have documented the core processes you’ll own - By Day 60:
You independently run invoice prep, time/mileage records, and routine purchasing - By Day 90:
You’ve given our GM back 15–20 hours per week and are running those processes without daily supervision
- Previous experience in an administrative, bookkeeping, or operations support role
- Comfortable in Quick Books, Microsoft Office, and Outlook
- Strong written communication and detail orientation
- Able to work 100% onsite at our Fort Lauderdale office (8:00–4:30, Mon–Fri)
- Willing to complete a short, onsite practical exercise during the final interview where you review a sample invoice, time sheet, and parts request to identify errors, missing information, and next actions
- Salary depending on experience
