Role Overview

Bond operates a managed business aviation fleet of Bombardier Challenger and Global aircraft under a Part 91K fractional ownership program and Part 135 on-demand authority. We run a lean flight operations team with a high bar, and we are building the systems that let us scale without compromising safety or the owner experience.

As our Flight Operations Administrator, you will be the administrative partner to flight operations leadership, supporting our VP, Director of Operations and Director of Regulatory Compliance. You will keep the certificate, the manuals, the crew file, and the department's commitments accurate, current, and audit-ready, so that when an FAA inspector, auditor, or owner asks for a document, it exists and you can produce it in minutes.

This role is for someone who loves precision, works a deadline calendar without being chased, and takes pride in being the person leadership relies on. If you have worked inside a Part 135 or Part 91K operation, you will ramp fast. If you come from another regulated, records-driven environment and learn quickly, we want to hear from you too.

What You'll Do
  • Own calendars, meetings, correspondence, and action-item follow-through for flight operations leadership, including FSDO and principal inspector letters.
  • Run the regulatory calendar and certificate file:
    OpSpecs and MSpecs, LOAs, filing deadlines, renewals, and management of change packages.
  • Keep the department audit-ready by building evidence files, fulfilling FAA and third-party document requests, and tracking findings to closure.
  • Track every new aircraft through onboarding on one status board, and chase down missing records before they keep a jet on the ground.
  • Drive the manual revision cycle and forms library, including revision logs, distribution, and read-and-sign tracking.
  • Maintain the non-training crew file and partner with the Flight Training Administrator on one shared expiration calendar.
  • Reconcile trip and flight time data in Portside Horizon against Fore Flight and build reporting leadership can trust.
Required Qualifications
  • 3+ years as an executive or administrative assistant, records coordinator, or office administrator in aviation or another regulated, records-driven environment.
  • Experience managing calendars, correspondence, and priorities for more than one senior leader.
  • Strong accuracy with dates, expirations, and document control, and the discipline to work a recurring calendar independently.
  • Strong writing skills for correspondence and procedures others will rely on.
  • Advanced Microsoft 365 skills (Excel, Word, Outlook, SharePoint, One Drive) and quick uptake of new operational software.
  • Discretion with confidential crew, passenger, owner, and medical information.
  • Availability to respond outside normal business hours when trip activity requires it, and to support an on-call rotation as needed.
