Estate Planning Specialist

The Mid-Level Estate Planning Coordinator plays a vital role in supporting the estate planning process by managing client information, preparing documentation, and coordinating community outreach efforts. This position ensures smooth workflow and enhances client experience while working closely with attorneys and community partners to promote the firm's services.

• Gather, organize, and verify family, asset, and beneficiary information necessary for estate plans
• Prepare estate planning documents and materials for attorney review and client meetings
• Coordinate signing appointments, including scheduling witnesses and notarization processes
• Track the progress of each estate plan, follow up on open items, and ensure timely completion
• Manage post-signing activities such as trust funding paperwork and beneficiary updates
• Communicate effectively with clients regarding scheduling, status updates, and routine inquiries
• Plan, book, and coordinate community events, seminars, and workshops, handling all logistics and follow-up

• Minimum of 2 years of experience in an administrative, legal support, or client-facing role
• Working knowledge of estate planning concepts including wills, trusts, powers of attorney, and beneficiary designations
• Strong critical thinking skills to identify discrepancies and resolve issues proactively
• Exceptional attention to detail with names, dates, and deadlines
• Excellent communication skills, both verbal and written, with a professional and warm demeanor
• Ability to work on-site in Fort Lauderdale, Monday through Friday

• Experience working in a law firm, trust company, bank trust department, or financial planning practice
• Background in planning or coordinating community events, seminars, or client workshops
• Familiarity with case or client management software
• Bilingual proficiency in English and Spanish
