Purchasing Specialist
The Purchasing Specialist is responsible for sourcing, evaluating, and procuring goods and services needed to support day-to-day operations, ensuring the organization receives quality products at competitive prices and in a timely manner. This role manages a specific category or set of vendor relationships, tracks purchase orders from request through delivery, and works closely with internal departments to understand purchasing needs and budget constraints.
Essential Duties & Responsibilities:
- Source and evaluate suppliers/vendors based on price, quality, reliability, and delivery timelines
- Prepare, issue, and track purchase orders (POs) through fulfillment
- Negotiate pricing, terms, and contracts with vendors within assigned category
- Monitor inventory levels and reorder points to prevent shortages or overstock
- Resolve discrepancies related to pricing, delivery, quality, or invoicing
- Maintain accurate procurement records and vendor documentation
- Build and maintain positive relationships with key suppliers
- Collaborate with internal stakeholders (Finance, Operations, department heads) to forecast needs and align purchasing with budget
- Research market trends and pricing to identify cost-saving opportunities
- Ensure compliance with company purchasing policies and procedures
- Assist with vendor onboarding and accounts payable process
Qualifications:
- Bachelor's degree, or equivalent experience or relevant certifications
- 5+ years of purchasing, procurement, or supply chain experience
- Strong negotiation and vendor management skills
- Proficiency with purchasing/ERP software (e.g., SAP, Oracle, Net Suite) and Microsoft Excel
- Excellent organizational and communication skills
- Detail-oriented with strong analytical and problem-solving abilities
Position Type / Expected Hours of Work:
This is a full-time, Exempt position. Must be able to work flexible hours including nights, weekends, and holidays as needed.
