The Executive Assistant to the Vice President for Student Affairs will perform all necessary responsibilities and duties as assigned by the Vice President for Student Affairs. Duties include but are not limited to: correspondence, purchasing, data input, records management, assisting visitors, and general support for the Vice President for Student Affairs and the Student Affairs office. Requires a proven ability to work successfully as part of a team in a high-demand, multi-tasking, detail-oriented environment.

Ethical, compassionate, energetic and positive demeanor is essential for this front-line role that involves consistent demonstration of well-refined customer service skills due to extensive contact with students, colleagues, faculty, and the general public.

This position is a full-time position (261 workdays per year). The starting salary is $50,000 per year.

The Executive Assistant to the Vice President for Student Affairs will abide by the employment contract and relevant policies and guidelines of the Board of Trustees.

Essential Duties Summary
  • Learn and embrace the comprehensive community college philosophy and related Iowa Code regulations.
  • Learn, apply, and role-model all SCC policies and procedures, including but not limited to the strategic goals and expectations of accountability within the Student Affairs Division and the Student Affairs Suite.
  • Maintain a friendly, helpful attitude toward both students and colleagues.
  • Perform secretarial, clerical, and receptionist duties as assigned by immediate supervisor, including answering and directing phone calls where appropriate, effectively responding to phone/email/social media inquiries with timeliness, greeting all visitors to the department, ordering office supplies for the Student Affairs suite, and maintaining a positive morale within the Center.
  • Assist with communications to students – weekly newsletter, digital signage, etc.
  • Maintain WB campus general bulletin boards and approve postings thereon. Responsible for maintaining and updating content of large bulletin board located outside Black Hawk Bookstore.
  • Cross-reference local sex offender registries with SCC enrollment records on a monthly basis or as received by local authorities; seek additional file information and provide all of the information to the Dean of Students.
  • Schedule, organize, and take minutes for division/department/direct-report staff meetings on an annual, monthly, weekly basis as directed, in addition to meetings of specific standing and ad hoc committees or groups as directed (i.e. Special Appeals Committee, CARE Team, etc.). Use of Ad Astra required to schedule rooms for these meetings.
  • Keep on file updated copies for public distribution by request of the following:
    • Student Handbook
    • Schedule and reschedule appointments for VPSA, accessibility services, and Dean of Students offices; provide general information and respond to requests and inquiries directed to the VPSA and or about the entire Student Affairs Division and specifically the Student Affairs office suite.
  • Prepare reports, correspondence, and other documents, including composing initial drafts.
  • Conduct research relevant to routine responsibilities and assigned tasks, including securing information for purchasing and operational decisions.
  • Maintain and update policy/procedures manuals, divisional organizational chart, and other institutional documents and reports as directed.
  • Organize and facilitate budget processes for Student Affairs Division and supervisor including collecting receipts, preparation of monthly expense reports and reconciliation of monthly credit card statements, etc.
  • Maintain the Student Affairs Division related web pages in collaboration with department colleagues. Send updates to marketing and IT to keep directories updated.
