Job OverviewProvide advanced administrative support to senior executives and management teams, acting as the focal point for departmental policies and executive functions.
Responsibilities- Manage multiple executive calendars, prioritizing conflicts and ensuring alignment across leadership teams.
- Coordinate domestic travel arrangements—including flights, hotels, transportation, itineraries, and last‑minute changes.
- Schedule and maintain complex calendars of appointments, meetings, and travel itineraries, coordinating related arrangements and negotiating scheduling issues.
- Prepare, track, and reconcile executive expense reports while ensuring timely collection of receipts and supporting documentation.
- Handle confidential information and communications with discretion and professionalism.
- Compose and initiate correspondence and memoranda.
- Tactfully screen a wide range of internal and external telephone calls and visitors, resolving routine and complex inquiries.
- Prepare and distribute meeting notes and action items, tracking completion of tasks across a broad area.
- Perform research on a wide range of issues and subjects.
- Coordinate meetings and events, finding locations (on‑ or offsite), making lunch arrangements, gathering materials, recommending and tracking budgets, and communicating schedules to attendees.
- HS diploma required; BS/BA preferred.
- 5+ years of Executive Assistant experience supporting senior executives or C‑suite leaders.
- Advanced proficiency with Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word).
- Demonstrated experience managing multiple executive calendars and competing priorities simultaneously.
- Strong travel coordination and expense management experience.
- Ability to work independently with minimal supervision while maintaining exceptional attention to detail.
- Proven ability to manage confidential information with discretion and professionalism.
- Excellent written and verbal communication skills.
- Strong organizational, problem‑solving, and prioritization skills.
- Successful completion of a background check, credit check, and drug screening (where permitted by law) is required.
Hourly:$32.31–$43.05
This hiring range is a reasonable estimate of the base pay for this position at the time of posting.
