Under the general direction of the designated supervisor, this position oversees the effective and efficient operation of records ensuring that all Building Division plans, correspondence, and documents are filed, processed, copied, and forwarded in a manner that is consistent with Florida Public Records Law and allows for the quick and expedient retrieval and access of such plans, correspondence, and documents. This position shall provide assistance and excellent customer service to the general public.
Carries out supervisory responsibilities in accordance with the City's policies and applicable laws. Responsibilities include assigning and directing work; and addressing complaints and resolving problems.
Responsibilities And Reporting During An Emergency SituationEssential Employees may be required to work during a declared emergency. Depending on the nature of the emergency, this may require working around the clock for several days on short notice.
Non Essential Employees will not be required to work during a declared emergency. The employee's Department Head will determine when the employee will be required to work.
Duties/Responsibilities
- Supervise the maintenance of all records associated with Building Division activity.
- Organize, schedule, and coordinate work activities of Administrative Clerk position(s).
- Create and maintain files, plans, and records for collection, storage, filing, and retrieval according to accepted record keeping practices and statutory requirements.
- Provide permit status. Contact customers when permits are ready for issuance and provide fee information.
- Enter fee information into computer system and release files for permit issuance.
- Coordinate all plan review letters from various divisions/departments and send to the appropriate party.
- Cross-train and provide back-up support to the permit department as needed do to staffing shortages.
- May require to drive a motor vehicle to accomplish assigned tasks.
- This position requires regular and reliable attendance and the employee's physical presence at the workplace.
- Performs other duties as assigned.
Skills And Abilities
- Proficient in the use of word processing, spreadsheet, and accounting software.
- Knowledge of safety precautions and occupational hazards associated with Plans Review Coordinator.
- Possess strong problem-solving skills and is able to work independently.

- High School diploma or GED.
- Three years' of progressive responsible experience in customer service or related work.
- Possess a valid Florida Driver's License.
