Job Description
Assist in the daily operation of administrative duties and associated tasks in a construction office.
Reporting RelationshipsAdministrative Assistant reports to the Regional VP
Ideal Background- Education:
- High School Graduate and a minimum of one year of experience in a similar construction-based environment
The essential functions of this position include sitting, standing, walking, climbing, reaching, bending, lifting, carrying, pushing/pulling, dexterity of hands and fingers, seeing, hearing, and talking. Use of computers, adding machines and telephones are a daily function.
Skills, Knowledge, and Abilities- Microsoft Office;
Excel, Word, Power Point - Microsoft Outlook; professional email communication, calendar, scheduling, distribution lists
- Microsoft Teams
- Understanding confidential protocol
- Ability to create and manage electronic files
- Basic knowledge of construction and project terminology
- Various software programs and terminology
- Ability to meet and maintain deadlines
- Ability to establish good working relationships with customers, contractors, and co‑workers

Job ResponsibilitiesNote:

- Prepare contract and project-related documents; file, organize and maintain
- Manage the company subcontractor database
- Assist Contract Administrator with subcontract management
- General office organization and filing
- Office Support and Customer Service (Phone/Email)
- Other duties as assigned
- Enforce all rules listed in the Ajax Employee Safe Practices Handbook
- Ensure all Ajax quality standards are met
- Ensure adherence to all federal, state, local, and Ajax safety and environmental rules and regulations
- Accurate and well organized; self‑motivated
- Capable of making prompt and responsible decisions
- Good communication skills
- Ambitious
- Self‑motivated
- Reporting to work on time, after lunch, and not leaving early unless authorized
- Always providing proper notification and advance notice of absence
- Not abusing or taking advantage of personal days off
Performing such other duties as may be required
