Shift: 8 Hr. X 5 Days
The Admin Specialist provides administrative support to managers and senior staff, handling routine and moderately complex inquiries, customer calls, and documentation. The role progresses from level II (under minimal supervision) to level III (independent, complex duties) with responsibilities expanding to budget coordination, data analysis, compliance tracking, and staff training.
Responsibilities- Handle non‑routine external and internal calls and inquiries; first level support for problem resolution.
- Compose and type routine letters, memoranda, and correspondence.
- Assist in training new hires and provide guidance to less experienced staff.
- Maintain records and files, ensuring confidentiality and organization.
- Coordinate budget preparation, variance analysis, forecasting, scheduling, and reporting.
- Conduct data analysis, compile reports, and support special projects.
- Track and manage compliance with regulations and procedures, including annual inspection files.
- Assist in scheduling and coordinating meetings, luncheons, travel, and conference materials.
- Perform additional duties as needed, providing backup to the Work Coordinator.
- For Level III: screen visitors and calls, administer complex administrative duties, prepare high‑level reports, create presentations, manage expense reports, and lead support teams.
- High School Diploma or GED.
- Minimum of 2 years experience as a Level II Admin Specialist, or 4 years of progressively complex admin support experience in a utility‑type environment.
- For Level III: additional 2 years as a Senior Admin Specialist or 6 years of related experience; must demonstrate success in all previous levels and ability to train others.
- Strong communication skills, written and verbal, with ability to interpret and explain complex information to multiple levels of management.
- Proficient in Power Plant, CIS/CRM, GIS, MS Office Suite, and related utility software.
- Ability to use discretion and judgment in handling complex issues.
- Associate’s degree from an accredited college/university.
- Bi‑lingual skills (in some locations).
- Knowledge of company policies, transaction codes, and utility software systems.
- Operate a motor vehicle safely and enter/exit vehicle independently.
- Walk, stand, sit, bend, stoop, and perform repetitive motions.
- Grasp/handle small tools, work with vision correctable to 20/40.
- Lift and carry up to 10 lbs.; reach up to 4 feet.

Incident Response AssignmentTeam members may be selected for incident response roles, receiving training and participating in drills for incidents such as storm events, gas leaks, equipment failures, and other emergencies that impact public safety or service continuity.
