The Children’s Network of Southwest Florida is committed to working with the community to protect children and preserve families. This role assists the Director of Quality Management in the daily management of electronic file scanning operations, ensuring accurate scanning, indexing, and retrieval of case management documents.
Key Responsibilities- Produce reports and presentations as required.
- Ensure that case management file data is scanned accurately and available in a timely manner.
- Answer questions from staff on imaging processes and provide technical assistance.
- Review electronic scanned documents for quality and completeness.
- Monitor scanning processes, including examining documents for suitability based on the COM SQUARED document scanning process.
- Index documents to the proper section and type for efficient retrieval.
- Achieve 98% indexing accuracy and meet daily production goals.
- Perform accuracy and quality checks on scanned documents to ensure the case management record is complete and available to approved users.
- Monitor disposal or destruction of protected case file information per company policy and state/federal laws.
- Participate in the development, implementation, and maintenance of policies and procedures for recording, indexing, filing, retrieving of active documents, and storage of inactive documents.
- Act as point of contact for day‑to‑day operations of the electronic records management system; troubleshoot system problems and isolate causes of failures.
- Respond to and resolve software user inquiries and complaints; elevate issues to vendor representatives or supervisor as needed.
- Coordinate with the Information Technology Department to troubleshoot and resolve system problems and make system modifications.
- Other duties may be assigned as special projects are requested.
CNSWFL’s work week is Monday through Friday, 40 hours per week. Business office hours are 8:00 a.m. to 5:00 p.m. Travel within and outside Circuit 20 (Lee, Charlotte, Collier and Hendry/Glades counties) is required.
TrainingAll employees must complete fifteen (15) hours of online or classroom training annually. Certified Child Welfare Professionals must complete twenty (20) hours annually.
Supervisory ResponsibilitiesThis position has no supervisory responsibilities.
Education and Experience- High school diploma required; A.A. degree preferred.
- A minimum of five (5) years of office experience and two (2) years of child welfare experience required.
- Operate standard office machinery (fax, telephone, calculator, computer, scanner, printer, copier, mail machine).
- Competent with Microsoft Office Suite (Word, Excel, PowerPoint, Access, Publisher, Outlook).
- Competent with basic e‑mail protocols and procedures.
- Excellent written and oral communication, effective listening, and teamwork skills.
- Ability to work in a multicultural environment and maintain confidentiality.
- Valid driver’s license, clean driver’s license check, and proof of insurance.
- No special certification or registration required.
- Criminal background screening (fingerprinting with Local Law Enforcement and FBI/FDLE).
- Drug screening is required.
- Children’s Network participates in E‑Verify.
