HOA Financial & Office Coordinator (Part Time)
Pride Staff is seeking a detail-oriented and experienced HOA Financial & Office Coordinator to support the daily administrative and financial operations of a Home Owners Association (HOA) in Fort Myers. This part-time role requires a self-starter who can work independently and as part of a team, providing essential bookkeeping and administrative support, including serving as an occasional backup to the Office Manager.

Monday - Friday 9am
-12:00pm (Part Time) Pay Rate: $22.20 / Hr.

Financial & Bookkeeping Support
- Accounts Payable (A/P):
Execute full-cycle A/P processes in Quick Books, including precise invoice entry, check preparation, and vendor insurance certificate maintenance. - Accounts Receivable (A/R):
Manage monthly batch invoicing, posting owner payments/deposits, applying late fees, and processing ACH payments. - Compliance & Collections:
Manage the collections process, including preparing notices, filing pre-lien and pre-foreclosure notices, and accurately recording lien releases. - Reporting:
Perform monthly bank reconciliations and assist in the preparation of financial statement packages for management review and Board release. - Data Management:
Process new owner input, handle estoppel requests, and prepare and verify resident balance statements
- Community Compliance:
Prepare and track professional correspondence, including violation/courtesy notices and complaint acknowledgements, to ensure community rules are enforced. - Meeting Coordination:
Assist with the setup and coordination of Board and Membership meetings, including agenda preparation and Zoom hosting. - Records Management:
Maintain high standards for document retention and physical/digital organization. - Office Liaison:
Serve as the first point of contact for prospective homeowners and realtors regarding community inquiries and governing documents. - Facility & Vendor Coordination:
Coordinate facility maintenance, schedule compliance inspections (e.g., pool, fire systems), and act as a liaison with external staffing agencies when required. - Office Support:
Serve as a reliable backup to the Office Manager for general office operations.
Qualifications:
- Education & Experience:
Associate's degree in Business or a related field (or equivalent combination of education and experience). A minimum of five (5) years of related administrative and bookkeeping experience is required. - Industry Knowledge:
Previous experience in a Home Owners Association (HOA) or property management environment is highly desirable. Familiarity with Florida statutes regarding community associations is a significant plus. - Technical Proficiency:
Strong command of Quick Books is required for financial duties. Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint) is essential for administrative tasks. - Communication:
Excellent written and verbal communication skills; ability to handle interpersonal and customer service interactions with diplomacy and professionalism. - Soft Skills:
Proven ability to work independently in a fast-paced environment, prioritize tasks effectively, and maintain confidentiality.
