OPS Office Assistant, Music Job Summary
The OPS Office Assistant assists with the day-to-day organizationaloperations of the Bower School of Music to fulfill the administrative responsibilities of the department.
Job DescriptionTypical duties include but not limited to:
- Processing various departmental forms and classroom usecharts
- Creating event programs including junior/senior studentrecitals and Nisita Series concert programs
- Assisting with data collection for HEAD's Report for NASMaccreditation and organizing of all student files for accreditationpurposes
- Collecting paperwork for Independent Contractor processing
- Collecting, preparing, and checking reimbursement documentsfrom faculty, students, and the director
- Collecting and checking travel reimbursement forms for faculty& students
- Organizing and ordering of all supplies
- Assisting with ASCAP and copy right organizations program requirements
- Assist with day-to-day operations of the Bower School of Music
- Performs other job-related duties as assigned by full time administrative staff and/or the director.
Job Description
Required Qualifications:
- High school diploma or equivalent.
- Any appropriate combination of relevant education, experience,and/or certifications may be considered.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Access, and Outlook).
- Bachelor's degree from an accredited institution in an appropriate area of specialization.
- Work experience in a higher education setting.
- Experience with Ellucian Banner, Cognos, and Gulfline.
- Promote a common purpose consistent with stated University goals and demonstrate a commitment to students and the learning environment.
- Possess the knowledge of general written standards and procedures utilized, and have the ability to read, interpret, andfollow procedural and policy manuals related to the job tasks.
- Demonstrate the ability to respond to supervision, guidance,and direction in a positive, receptive manner and in accordance with stated policies.
- Provide quality customer service by creating a welcoming and supportive environment.
- Present a professional image in word, action, and attire.
- Apply effective techniques to create working relationships with others to achieve common goals; successfully communicates and collaborates with others to achieve goals.
- Demonstrate skills necessary to look at situations and processes critically to make recommendations for improvement.
