- Serve as a primary contact for enrolled Medicaid recipients and community members with Medicaid questions and concerns
- Perform confidential administrative functions related to monthly expenditures, personnel activities, and inventory of equipment and supplies
- Serve as personnel liaison and maintain local administrative files for field office personnel
- Coordinate with Human Resources to resolve personnel questions and issues
- Maintain inventory and initiate office supply orders through My Florida Market Place or P-Card
- Compile budget information and review monthly expenditure and encumbrance reports
- Oversee office operations involving telephones, office equipment, vendors, landlords, and local IT
- Track field-based activities, update databases, and prepare reports
- Assist with redacting data for public records requests
- Review data and prepare reports related to Medicaid complaints and fair hearings
- Provide backup clerical coverage, including reception, telephone routing, and mail processing
- Monitor MCOC task and public inboxes in a backup capacity
- Assess new complaint submissions, identify duplicates, and assign complaints within established time frames
- Maintain expenditure logs, complete monthly reconciliation sheets, and resolve discrepancies with finance and accounting
- Coordinate travel arrangements, reimbursement requests, and P-Card requests
- Maintain current knowledge of Florida Medicaid programs, laws, regulations, statutes, rules, and SMMC provisions
- Assist with annual records retention and disposition activities
- Perform other duties as assigned
- Two years of professional experience in administrative work, professional regulation, consumer complaint program work, interviewing, business administration, customer or public relations, or investigations
- Ability to communicate effectively, verbally and in writing
- Ability to determine work priorities, assign work, and ensure timely completion of assignments
- Ability to maintain composure and professionalism when interacting with distressed or angry individuals
- Ability to maintain strict confidentiality of personnel, performance, disciplinary, and related matters
- Ability to solve problems and make timely decisions
- Ability to work independently
- Ability to travel with or without accommodation
- Knowledge of English language structure, spelling, composition, and grammar
- Skill in establishing and maintaining effective working relationships
- Skill in identifying, locating, evaluating, and using information effectively
- Skill in managing and organizing multiple work tasks while meeting deadlines
- Skill in reviewing, correcting, and synopsizing written grammar
- Skill in understanding and applying Medicaid rules, regulations, policies, and procedures
- Skill in using basic computer software, web-based resources, and supporting tools
- Skill in using Microsoft Office Suite
- Skill in accurately completing detailed forms, web entries, and documents
- Must successfully complete State and National criminal history background screening before employment
- Must comply with applicable drug-free workplace reasonable-suspicion drug testing requirements
Demonstrates expertise in Medicaid programs, regulations, and administrative functions, with strong skills in communication, problem-solving, and maintaining confidentiality. Proficient in managing multiple tasks, preparing reports, and coordinating with various stakeholders to ensure efficient office operations.
