As a County Records Services Specialist, you'll support essential Records Services operations, tackle complex and high-risk processes, and help maintain the integrity of the County's official records — all while becoming a go-to expert in meetings, minutes, and meticulous documentation.
What You'll Do
- Attend Board of County Commissioners (BOCC) meetings, committee sessions, and Value Adjustment Board (VAB) hearings to capture official audio and take precise notes.
- Draft clear, accurate, and concise meeting minutes for distribution and archiving.
- Rotate through scheduled assignments to ensure seamless coverage for all meetings.
- Transport, set up, and test recording equipment and laptops across multiple locations.
- Process and verify documents approved by the BOCC and administrative channels.
- Maintain accurate tracking lists, District files, and Lobbyist Logs.
- Support the full VAB petition process, from initial filing through final resolution.
- Ensure strict compliance with document retention, archiving, and public-records procedures.
- Participate in software testing and user-acceptance evaluations for current and new systems.
- Respond to public inquiries and assist with official records requests and copywork.
- Author, update, and maintain comprehensive standard operating procedure (SOP) manuals.
- Take on special projects and additional duties as assigned.
What We're Looking For
- Strong keyboarding and data-entry accuracy.
- Excellent sequential filing skills.
- Proficiency in business English and business math.
- Outstanding organization and attention to detail.
- Clear, professional communication skills — both written and verbal.
- Confidence operating PCs, printers, and standard office equipment.
- A courteous, professional demeanor and the ability to maintain confidentiality.
- A strong work ethic and effective interpersonal skills.
- Ability to work extended hours when needed.
Education & Experience
- High school diploma or equivalent.
- Four years of clerical experience, or a combination of education and experience that demonstrates your ability to excel in this role.
Supplemental Information
- Superior health care plans with low premiums
- Competitive retirement and pension plans - Florida Retirement System and 457 deferred compensation options
- Generous paid time off, paid holidays, birthday leave, and volunteer time
- Our Wellness Program gives employees incentives, tools, social support, and strategies to adopt and maintain a healthy lifestyle
- We are a qualifying employer for Public Service Loan Forgiveness Program
