About the Role

Join our team and play a key role in maintaining the integrity, accuracy, and accessibility of our community’s official records. This Official Records Services Clerk role offers meaningful public service work, professional growth opportunities, and hands-on experience with a wide range of court and official documentation.

What You’ll Do

In this role, you will support the Official Records team by:

  • Review, accept, and record official documents with accuracy, attention to detail, and compliance with statutory requirements.
  • Provide friendly, professional assistance to customers in person, over the phone, and through email.
  • Process payments securely and follow all established cash-handling guidelines.
  • Perform notarizations as a Florida Notary Public, verifying identities and completing legally compliant notarial acts.
  • Issue marriage licenses and officiate ceremonies with professionalism and adherence to legal standards.
  • Manage incoming mail and interoffice correspondence, ensuring timely and confidential routing.
  • Retrieve archival records using microfilm systems and support preservation of historical documents.
  • Assist with special projects and additional duties as assigned
What We’re Looking For:
  • Strong keyboarding, data entry, filing, and organizational skills
  • Ability to read and accurately process written instructions and court-related materials
  • Clear written and verbal communication skills
  • Proficiency with PCs, printers, and standard office equipment
  • Professionalism, teamwork, and a service-driven attitude
  • Commitment to confidentiality, accuracy, and tact in sensitive situations
  • Flexibility to work extended hours when needed
  • High school diploma or equivalent
  • One year of clerical experience or any combination of education and experience that demonstrates the ability to perform the position duties
  • Ability to successfully complete the Passport Agent Certification Test within one (1) year of date of hire to qualify for new agent responsibilities.
