ABA Results LLC is looking for a driven and detail-oriented Executive Administrative Coordinator to join our growing team in Fort Myers, FL. This position is ideal for someone who thrives in a fast-paced environment, can successfully manage many moving pieces at once, and naturally anticipates what needs to be done. The right person will not simply wait for direction; they will recognize needs, follow through on responsibilities, communicate effectively, and help ensure operations continue running smoothly.
Key Responsibilities- Provide direct administrative and organizational support to the CEO
- Manage calendars, scheduling, appointments, meetings, reminders, and ongoing priorities
- Assist with day-to-day administrative and operational needs across the organization
- Communicate and coordinate with outside vendors, service providers, and business partners
- Obtain quotes, schedule services, follow up with vendors, and assist with resolving service-related issues
- Assist with budgeting, expense tracking, purchasing, and maintaining organized financial records
- Coordinate supply needs, purchasing, and ordering
- Create professional and engaging flyers, announcements, communications, and other materials using Canva
- Draft and distribute internal communications, emails, forms, and other administrative materials
- Maintain spreadsheets, trackers, documents, records, and organizational systems
- Assist with planning and coordinating company events, activities, meetings, and special projects
- Communicate professionally with leadership, employees, families, vendors, and other outside contacts
- Track multiple ongoing projects, deadlines, requests, and follow-up items to ensure nothing is overlooked
- Identify upcoming needs or potential issues and take initiative to address them
- Assist with general office and facility coordination as needed
- Handle sensitive and confidential information with professionalism and discretion
- Adapt to changing priorities and provide additional administrative support as organizational needs arise
- Minimum of 2 years of experience in executive administration, administrative coordination, office operations, or a similar role
- Experience with Individuals with learning delays or autism is a plus
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
- Strong Canva experience.
- Experience with budgeting, expense tracking, purchasing, or similar financial organization
- Experience communicating and collaborating with vendors and outside service providers
- Excellent written and verbal communication skills
- Exceptional organizational and time-management skills
- Ability to multitask and manage a high volume of responsibilities simultaneously
- Strong attention to detail and follow-through
- Highly proactive, with the ability to anticipate needs and recognize what needs to be done without waiting for step-by-step direction
- Strong problem-solving skills and the ability to independently find solutions
- Creative mindset with an eye for professional, visually appealing materials and communications
- Ability to prioritize effectively when multiple needs or deadlines arise at the same time
- Comfortable working in a fast-paced environment where priorities may shift throughout the day
- Dependable, professional, and able to maintain confidentiality
