Job Summary
The Associate Director, Athletics Business Operations supports the daily financial and administrative functions of the Athletics Business Office through revenue tracking, expense reconciliation, purchasing and budgeting. This position coordinates and reviews business processes and approves transactional activities related to budget, procurement, and human resources processes. Assists in ensuring all department transactions align with University, conference, and NCAA policies and procedures.

Job Description Typical Duties- Provides comprehensive support for the day-to-day business operations of the Athletics Department, including budgeting, finance, procurement, revenue management, and select human resources functions.
- Coordinates efforts in the preparation, monitoring, reconciliation, and forecasting of annual operating budgets for athletic programs and administrative units; initiates budget transfers, amendments, and accounting adjustments as appropriate.
- Monitors assigned accounts to ensure accurate tracking of expenditures, compliance with institutional and NCAA policies, and availability of funds.
- Proactively meets monthly with coaches and/or administrative department leads to analyze and discuss accounts to ensure alignment with department goals and University, conference, and NCAA policies and procedures.
- Compiles, analyzes, and maintains financial and revenue data; prepares routine and ad hoc reports and dashboards for coaches, sport administrators, and senior leadership.
- Oversees and reports on Athletics revenue streams, including ticket sales, game guarantees, sponsor ships, camps, facility rentals, and other external income sources; develops related invoicing, billing, and collections.
- Supports procurement activities, including requisitions, receipts, procurement card (P-Card) administration, expense reports, and spend authorizations, ensuring compliance with applicable policies.
- Provides support for human resources transactions within Athletics, including onboarding, job changes, compensation updates, Period Activity Pay, and employee separations, in coordination with campus HR partners.
- Assists with audits, year-end closeout, NCAA financial reporting, data validation, and other special projects as assigned.
- Serves as a liaison for routine finance, budget, procurement, and HR inquiries; escalates complex issues to Director, Athletic Business Operations to determine appropriate campus or shared services partner support.
- Performs additional administrative and operational duties as assigned to support the overall mission and operations of the Athletics Department.
- Represents athletic business office in absence of the Director, Athletic Business Operations.
- Serves as a department cash custodian signatory.
- Performs other job-related duties as assigned.
Job Description
Required Qualifications
- This position requires either eight years of full‑time experience directly related to the job functions or, as an alternative, a Bachelor’s degree from an accredited institution in an appropriate area of specialization and four years of experience directly related to the job junctions.
- Full‑time experience in accounting, bookkeeping, payroll, finance, or budgeting.
- Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
- Experience working with data management tools.
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
- Master’s Degree from an accredited institution in Accounting, Business Management, Finance, or closely related field.
- Work experience in collegiate athletics administration.
- Experience with Workday Finance and HCM modules.
- Knowledge of basic bookkeeping, budget, human resources, and/or procurement principles.
