Office Administrator | Strobes | Fort Myers, FL

Regular Employee | Hourly Non-Exempt | $26.00 - 28.00

What you’ll do:

The Office administrator position is responsible for supporting and assisting the office with all administrative and HR responsibilities.

  • Supports the Human Resources team daily by greeting employees who come into the department and helping them as needed or directing them to the appropriate team members.
  • Responds to routine inquiries about employee self‑service log in assistance and employment verifications.
  • Enter new contract hires into ADP/UKG Pro and contract spreadsheets.
  • Creates, maintains, and updates confidential employee files and medical files.
  • Schedules pre‑employment drug screens and may provide internal/external communications to candidates.
  • Works with HR Manager to ensure a smooth start‑up with new hires and contract associates.
  • Assists with or conducts conversion orientation and the new hire paperwork consisting of tax documents, emergency contact information, I‑9 form with appropriate documentation, etc.
  • Maintains and assists with compiling and maintaining various reports.
  • Enter all new hire/conversion employee data in ADP/UKG Pro.
  • Prepares attendance termination letters (NCNS).
  • Updates attendance policy exceptions weekly in ADP/UKG Pro.
  • Processes weekly disciplinary actions in ADP/UKG Pro.
  • Assists and updates requests through HR requests.
  • Prepares and emails weekly headcount report to specified distribution list.
  • Prepares and emails monthly headcount on around the 1st to specified distribution list.
  • Responds to Unemployment inquiries and requests in a timely manner.
  • Assists with special HR projects.
  • Sets up and maintains personnel files (active and terminations).
  • Collects and maintains I‑9s on each employee.
  • Compiles and prepares various reports such as KPI reporting, monthly metrics presentations and other reports as needed.
  • Enters new hire HR requests.
  • Runs disciplinary action and review, posts disciplinary action (coaching, warning, final warning and termination) and makes corrections to attendance points as needed.
  • Notifies associates who have not enrolled within the benefits enrollment deadlines.
What you need to be successful:
  • HS Diploma or GED required (Associate Degree in Business or HR preferred).
  • Passion for continuous improvement and learning.
  • Excellent verbal and written communication skills.
  • Strong organizational, problem‑solving, and analytical skills.
  • Ability to work independently and as a member of various teams.
  • Proficient on MS Office products.
  • Proven ability to handle multiple projects and meet deadlines.
  • Strong interpersonal skills with the ability to develop and strengthen relationships at all levels of the organization.
  • Ability to prepare effective reports and presentations.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
