Job Summary

The Lead Fleet Mechanic is responsible for overseeing the daily operations, maintenance, and management of the company’s vehicle fleet. This role combines fleet planning and coordination with hands-on vehicle maintenance and repair. The position ensures vehicles are safe, operational, compliant with regulatory requirements, and efficiently managed to minimize downtime and control costs.

Key Responsibilities Fleet Operations Management
  • Develop and implement fleet policies and procedures to ensure effective management and compliance with regulatory requirements.
  • Monitor and manage the overall performance, efficiency, and availability of the fleet.
  • Coordinate with other departments to ensure fleet requirements and operational needs are met.
Vehicle Acquisition and Disposal
  • Plan and oversee the acquisition of new vehicles, including selecting vendors, negotiating terms, and managing the procurement process.
  • Manage vehicle disposal and replacement strategies to optimize fleet composition and financial performance.
Maintenance and Repairs
  • Develop and manage maintenance schedules and track vehicle service history.
  • Perform routine maintenance such as oil changes, brake checks, tire rotations, and fluid replacements.
  • Diagnose and repair mechanical and electrical issues, including engines, transmissions, suspension systems, and other critical components.
  • Oversee and coordinate routine maintenance, repairs, and inspections to keep all vehicles in good working condition.
  • Collaborate with fleet staff and other personnel to address and resolve mechanical issues.
  • Respond to emergency repair requests and provide on-site assistance when necessary.
Inspections, Safety, and Compliance
  • Conduct thorough vehicle inspections to identify potential problems before they become serious issues.
  • Ensure vehicles and fleet operations comply with company policies, manufacturer specifications, and local, state, and federal regulations, including safety and emissions requirements.
  • Conduct regular safety audits and implement corrective actions as necessary.
  • Maintain up-to-date records of vehicle registrations, insurance, and inspection certificates.
  • Follow all safety protocols and guidelines to ensure a safe working environment.
Documentation and Fleet Records
  • Maintain accurate records of repairs, maintenance, inspections, and vehicle service history.
  • Document parts used, labor hours, and additional notes related to service.
  • Utilize fleet management software to track vehicle performance, manage maintenance schedules, and generate reports.
  • Implement and maintain GPS tracking systems and other technology to enhance fleet management.
Parts and Inventory Management
  • Order and manage inventory of parts and supplies needed for vehicle repairs and maintenance.
  • Monitor parts and material needs to support timely repairs and minimize vehicle downtime.
Budgeting and Cost Control
  • Develop and manage the fleet budget, including fuel, maintenance, repairs, and insurance expenses.
  • Analyze cost reports and identify opportunities for cost savings and efficiency improvements.
Team Leadership
  • Supervise and manage fleet staff, including mechanics, drivers, and administrative personnel.
  • Provide training and development opportunities to ensure staff remain knowledgeable and up-to-date with industry best practices.
Communication and Customer Service
  • Communicate clearly with drivers, vendors, fleet personnel, and other departments regarding vehicle issues, repair timelines, and fleet needs.
  • Address and resolve issues or concerns related to fleet operations from internal and external stakeholders.
  • Provide excellent customer service and maintain effective working relationships with drivers, vendors, and other departments.
