JOB SUMMARY:
Under direct supervision, this part-time position provides administrative and programmatic support for the assigned Educational Talent Search unit. Core responsibilities include maintaining the professional operations of the office; performing receptionist and clerical functions; managing electronic and manual records; and delivering high-quality customer service. Primary tasks involve answering calls professionally, greeting and directing students, parents, faculty, staff, and visitors, and supporting scheduling, data entry, and program event coordination.
The role also assists with facility, equipment, and transportation scheduling, as well as logistics for field trips, orientations, student programs, and year-end events.
Specific Duties and Responsibilities
* Coordinate and schedule appointments, meetings, and program activities.
* Participate in regular staff meetings with the Director, target school representatives, and program personnel to support planning and evaluation.
* Arrange travel and event accommodations as needed.
* Draft and prepare correspondence.
* Record and maintain minutes for program and committee meetings.
* Assist with planning and implementation of field trips and cultural activities.
* Relay routine directives from the Program Director to staff.
* Coordinate food orders and other purchases for program events.
* Perform basic bookkeeping and record-keeping tasks.
* Open, sort, and distribute incoming mail.
* Conduct data collection using technology-based tools to assemble and report program statistics.
* Support the efficient daily functioning of the office.
* Assist with transportation coordination and scheduling of facilities and equipment.
* Perform other duties as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
* Associate in Science degree in Accounting Technology, Business Administration or related area;
* Minimum of two (2) years of relevant work experience - preferably in office management setting;
* Workable knowledge and understanding of the Education Department General Administrative Regulations (EDGAR) specific to compliance, cost principles, and administrative responsibilities that govern TRIO programs;
* Familiarity with the Office of Management and Budget (OMB) Circular A-21, along with the Federal Register and how they apply to programmatic principles;
* Ability to maintain strict accuracy and be detailed oriented;
* Strong leadership, interpersonal and organizational skills;
* Excellent communication skills - both verbal and written as well as excellent telephone etiquette;
* Proven experience with Microsoft Office and Windows applications to include competence in word processing, database, and spreadsheets;
* Ability to work independently and with others, self-motivated;
* Working knowledge of St. Lucie County;
* Ability to empathize and work with persons representing culturally diverse backgrounds;
